The ideal candidate will play a crucial role in supporting project management activities within the construction industry. This position requires strong organizational skills, effective communication, and the ability to manage multiple tasks simultaneously. The Project Coordinator will work closely with project managers, contractors, and other stakeholders to ensure projects are completed on time and within scope.

Duties/Responsibilities:
  • Preparation of correspondence to Subcontractors; letter, memo, or email; including 3-day notices by direction of the
PM / APM.
  • Assist Accounts Payable in collection of all required documents to process payable invoices timely.
  • Match Accounts Payable invoices, purchase orders, and delivery tickets for AP packets; review for discrepancies and accurately cost code.
  • Update information in database; Sage; SharePoint; Smartsheet; and shared drives per regular basis requirements in required formatting.
  • Establish, update, assist in maintenance of project files; records; shared drive folders; and project data management systems, as required.
  • Process requests for Subcontractor Agreements, Work Orders, and other documentation submitted by the field Project Team.
  • Review Scopes of Work and Schedule of Values for formatting and noticeable issues; verify contract amount of SOV to estimate.
  • Verify overall Subcontractor compliance and update contract documents as required throughout project duration.
  • Process and track requested Change Orders to update the Subcontract Agreements and Work Orders submitted by the
PM / APM.
  • Assist with Subcontractor investigation; gather project & subcontractor data; prepare special reports and summaries relevant to assigned projects.
  • Monitor, reconcile, and assist with financial administration for assigned projects, including invoices, contracts, billing, and delivery tickets.
  • Review Subcontractor invoices for accuracy, cost code, process and post for payment; and after verifying such invoices are signed off by the PM; produce office verifications; cross check budgets; and verify required Subcontractor documentation has been received before payment is issued.
  • Provide support activities for assigned projects such as answering phones; assisting in de-escalation of problems; inquiries of visitors; review correspondence; follow-up on operational commitments; and be a conduit for communication between the field and back-office.
  • Assist
PM / APM

in producing project closeout manuals such as payout documents; lien waivers; and warranty paperwork.

  • Attendance of project meetings as required.
Required Skills/Abilities:
  • Excellent organizational skills and attention to detail.
  • Excellent analytical, decision-making, and problem-solving skills.
  • Proficient in Microsoft Office Suite, Data Entry, Analysis Techniques, and Workstation Tools.
  • Ability to work in a fast-paced, rapidly growing Construction and Development environment.
Education and Experience:
  • Bachelor’s Degree and / or 3-5 years of relevant experience.
  • Minimum of 3-years of Construction Accounting experience.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
