Job Title Project Coordinator Job Description Project Coordinator Job Overview:

The Project Coordinator serves as the focal point for processing, tracking, and distributing project deliverables; creating reports on project status; verifying the project insurance, bonds, lien releases, and other contractual obligations are fulfilled; and providing technical support to the Project Manager as needed. Supports the Project Managers and Project Engineers as a force multiplier to bridge the technical gap between the Project Manager and Project Administrator. Project coordination support is required for multi-million-dollar material handling projects in Baggage Handling, Warehouse Automation, and Parcel Sortation throughout North America.

Job Tasks & Responsibilities:
  • Works with Project Team to identify and produce project specific technical and commercial documentation and templates as outlined in the project plans.
  • Coordinates with all departments to assist the Project Manager with project execution.
  • Coordinates with the project team members to ensure that the contents of submittals meet contractual requirements.
  • Establishes and enforces standards and processes for project administration.
  • Responsible for monitoring all parties for compliance to project documentation processing including filing, tracking, and distributing.
  • Responsible for maintaining all project log files to ensure accuracy of the document status and provide reports. Typical project logs files are Submittal logs, RFI (Request for Information) logs, Change Order logs, Risk and Opportunity registers, Document Lists and Logs
  • Oversight of log management and process compliance for document management system.
  • Production and updating of project reports, both internal and external.
  • Secondary point of contact for all departments in the absence of the Project Manager.
  • Implementation and training of new processes and best practices for operations department.
  • Direct line between all departments supporting project execution.
  • Verifying compliance with schedule milestones and due dates for submittals from engineering; sending reminders and communicating any potential delays ahead of time.
  • Other support as required including, but not limited to: Site Badging Administration and Returns Payment Application status verification Site logistical support Purchase Order Request support Other forms and processes
  • Supervision of project administrators as required.
Basic Qualifications:
  • Experience in project coordination and administration, or four-year college degree in related field.
  • Demonstrable organizational and communication skills.
Preferred Qualifications:
  • Four years’ experience in Construction or Project Coordination position.
  • Four-year college degree in construction management or engineering.
  • Experience working for an international organization.
Knowledge-Skills-Abilities:
  • Basic understanding of project procurement, scheduling, and documentation requirements.
  • Highly proficient in MS Word, Excel, and PowerPoint.
  • Ability to work well with diverse team of internal disciplines.
