Job Summary The Project Coordinator will join our aviation team based in Baton Rouge, Louisiana. The Project Coordinator will play a key role in supporting the Baton Rouge aviation division by coordinating client and contractor interactions, assisting project managers, and handling administrative tasks while ensuring smooth project flow and effective communication. This role will also involve executing various project documents throughout the planning, design, bidding, construction, and closeout phase of the projects at airports.
Responsibilities Client and Contractor Coordination:
Serve as a liaison between clients, contractors, and internal teams to facilitate project communication and coordination.
Project Document Management:
Assist Project Managers in preparing, reviewing, and executing project documentation, such as design submittals, permits, contracts, and reports during the design phase.
Administrative Support:
Handle various administrative duties, including filing, scheduling, and managing correspondence. Maintain organized project records and databases.
Meeting Coordination:
Organize and schedule project meetings, prepare agendas, and take detailed meeting minutes. Follow up on action items with relevant parties.
Project Scheduling and Tracking:
Assist in creating project timelines and milestones, tracking progress, and ensuring adherence to deadlines.
Budget Assistance:
Help track project budgets by organizing invoices, monitoring expenditures, and reporting financial updates to the team.
Compliance and Risk Monitoring:
Ensure all project activities are compliant with relevant industry regulations and identify potential risks early in the project.
Communication Hub:
Facilitate seamless communication across multiple project stakeholders, providing timely updates on progress, issues, and project developments. Qualifications Familiarity with construction projects or industry standards is a plus. Strong customer service orientation and relationship-building skills. Experience in administrative duties, document control, and compliance monitoring. Strong organizational skills with attention to detail. Excellent communication and interpersonal skills. Proficient in MS Office Suite (e.g. Excel, Word, Power point, One Note) and preferred experience in project management software (e.g., MS Project). Experience supporting Project Managers and executing project documents. Ability to multitask and prioritize effectively in a fast-paced environment. Education and Experience Requirements Bachelor’s degree in business administration, construction management, or a related field (preferred). 3-5 years of experience in project coordination, administrative support, or similar roles, preferably in the engineering or construction industries. Work Environment & Physical Requirements This position predominantly involves up to 8 hours per day at a computer workstation, with occasional standing and walking. The employee may occasionally lift lightweight office supplies and materials, typically not exceeding 20 pounds. The office environment is indoors, characterized by controlled temperatures and minimal exposure to adverse conditions. Employees must have the ability to visually discern and differentiate details and colors of objects, and proficiency in recognizing sound, tone, and pitch. Clear and effective verbal and written communication skills are necessary. The role demands adaptability to interruptions and changes in workflow, as well as the capacity to sit for extended periods. Expected Hours of Work This position is full-time. The ICE offices are open from 8:00 a.m. to 5:00 p.m., Monday through Friday, allowing an unpaid hour for lunch daily.
