Plan & Spec / Special Projects Reports to: SPJ Project Manager Are you a proactive and highly organized professional who thrives in a fast-paced environment? We’re looking for a Project Coordinator to join our growing team and play a vital role in ensuring the smooth execution of both Plan & Spec and Special Projects . In this role, you’ll serve as the central point of coordination between project managers, field supervisors, subcontractors, and clients—making sure schedules are met, resources are aligned, and high-quality results are delivered. If you’re a natural problem-solver with strong communication skills and a passion for keeping projects running efficiently, we want to hear from you. Key Responsibilities Scheduling & Resource Management Create and maintain daily, weekly, and long-range schedules for field crews across multiple projects. Work closely with PMs, APMs, and Foremen to allocate labor and optimize manpower. Forecast labor needs and manage resource planning based on project schedules and backlogs. Track field resource allocation in real-time and adjust as project priorities shift. Dispatch & Field Coordination Dispatch field crews with all necessary details, tools, and materials to execute work efficiently. Collaborate with Foremen to minimize downtime and boost productivity. Support evolving job site needs by responding to labor and material requests promptly. Customer, Vendor & Subcontractor Communication Act as the liaison between project teams and customer site contacts to coordinate access, schedules, and job-site requirements. Schedule and coordinate deliveries, vendor lead times, and subcontractor services. Communicate updates on equipment, deliveries, and work timelines with all relevant parties. Administrative & Operational Support Ensure Daily Field Reports are completed accurately and on time. Track labor utilization and flag inefficiencies or scheduling conflicts. Help secure necessary permits (Plumbing, Electrical, Sheet Metal, Mechanical, and Building). Schedule and track inspections and commissioning activities. Issue purchase orders and manage Certificates of Insurance for vendors and subcontractors. What You Bring Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Problem-solving mindset with the ability to adapt to shifting priorities. Proven ability to work collaboratively across departments and with external partners. Experience in construction, mechanical trades, or a similar industry is a plus.

$27.00 – $37.00 per hour Expected hours: 40 per week
