Full Time Job Summary:

We are seeking a highly organized, detail-oriented Assistant Project Manager to support our team through the full project lifecycle – from bid tracking and estimating, through submittals, material procurement, progress billing, and project closeout. This individual will play a critical role in managing documentation, material pricing and ordering, and process accuracy, ensuring all project milestones are met on time and to standard.

Key Responsibilities:

Project Setup & Estimating Support Track incoming project opportunities and assign them to appropriate team members. Organize and label project files with relevant deadlines and details. Review submitted estimates for completeness and accuracy. Coordinate internal efforts for preparing estimate documents. Communicate with external contacts to gather pricing or related information. Compile and return finalized data for quote preparation. Assist with sending completed proposals or quotes to clients or stakeholders. Project Documentation & Material Coordination Prepare, organize, and maintain project documents, materials, and tracking tools. Communicate with vendors and partners to gather information and confirm details. Coordinate and update submissions and approvals, ensuring accurate documentation is shared. Prepare and manage purchase orders, ensuring accuracy and internal approval. Track material availability, order status, and delivery timelines. Maintain billing records and support invoice and documentation processes. Project Coordination & Close Out Support handoffs between teams and assist in scheduling and progress tracking. Monitor job status and documentation updates, including change orders. Help manage final billing and ensure all project deliverables are completed. Compile and distribute closeout materials and summaries to contractors.

Qualifications:

Prior experience in project management (commercial construction preferred). Familiarity with construction documents such as estimates, submittals, POs, and AIAs. Excellent organizational and documentation skills. Ability to communicate effectively with vendors, contractors, and internal teams. High attention to detail with a process-oriented mindset.

Preferred Skills:

Experience with estimating software or construction project management tools. Basic understanding of construction materials and specifications.
