Education:
Bachelor’s degreein business or equivalent with 5 years of work experience orMaster’s degree with 3 years of work experience in a pharmaceuticalcompany with R D operations experience.
Note:
Hybrid role(require to come 2 days/week onsite-Wednesday compulsory and otherday can be flexible). 6 months assignment with possibility ofextension.
Responsibilities:
Program Operations CoordinatorReporting to the Head of Program Leadership, this position,Strategic Operations Coordinator, will support the work of theProgram leadership organization including strategic, andoperational support of the team.
Responsibilities include:
Supportinterdisciplinary strategic planning, development andimplementation of high-priority programs, as requested by the Headof Program Leadership. Work with Head of Program Leadership todetermine key performance indicators (KPI), and the processesneeded to communicate progress towards achieving annual ProgramLeadership goals. Support the R D Chief of Staff (CoS) withtracking assigned R D Priorities. Represent Program Leadershipon the CoS Network. Monitor progress on Program Leadership assignedR D priority programs. Proactively identify and solve executionissues, and maximize the speed and quality of execution. Keep theR D CoS informed of KPI and critical issues on an ongoing basisincluding preparing and presenting reports detailing the status ofspecific initiatives to inform decision-making processes.
Coordinate Program Leadership approval and management of allvendors used to support drug discovery and development initiatives.
Lead procurement process and subsequent PO requirements. Incollaboration with the Head of Program Leadership, enforce fiscalstewardship across all projects and initiatives that you support.
Verify use and enforce adherence to allocated budgets for travel,conference planning, or other identified activities championed byProgram Leadership. Lead facilitation of team meetings. Maintainteam repository for Program Leadership documentation. Proactivelyand regularly maintain robust communication and informationdissemination of key insights from working groups/networks andother committees on behalf of Program Leadership. Maintaincalendar, expenses, travel, provide guidance to contract admins,meeting planning, Manage multiple tasks and high-level projectswhile simultaneously managing day-to-day operations of the office.
Maintain the VP’s schedule, including day-to-day and long-termmanagement of meetings, projects, and priorities Schedule allmeetings and travel, including prioritizing meetings andcommunicating all relevant details to participants Collaborate withstakeholders to plan and execute larger organizational conferencesand meetings, whether remote or in person (e.g. staff meetings,town halls, regional meetings) Balance conflicting priorities inorder to manage workflow, ensure the completion of essentialprojects, and meet critical deadlines Ensure VP is prepared forupcoming appointments by gathering agendas or materials necessaryfor each meeting Serve as the first point of contact for a widevariety of high-level relationships between VP and externalcontacts Facilitate, build and monitor relationships includingtracking contacts in database and managing follow-up Handle phone,email and postal mail inquiries and respond appropriately Draft andedit correspondence and PowerPoint presentations Coordinate andmanage special projects, including working collaboratively withstaff to assure projects meet deadlines Build skillsets andnetworks of PBO contract administrative assistants throughcoordination of/access to subject matter experts (eg, InformationTechnology, Security) and trainings • Ensure active back-up supportfor ORD administrative assistants This is a fantastic opportunityto join a dynamic team and make a meaningful impact in a rapidlygrowing company.
