Position Overview:

As a Project Manager & Purchaser, you will be responsible for managing the full project lifecycle, ensuring on-time, on-budget, and high-quality project delivery. You will collaborate with internal teams, including sales teams, estimators, designers, and production staff, to ensure that each project component is accurately sourced and purchased. This role also involves working closely with vendors and suppliers to manage order submissions, negotiate pricing, and ensure the timely delivery of materials.

Key Responsibilities:

Project Management:

Lead and manage exhibit and event projects from concept to completion, ensuring that all phases are executed within scope, budget, and timeline. Coordinate with internal teams, including estimators, designers, and production staff, to develop project plans, timelines, and resource allocations. Communicate regularly with internal teams to provide status updates, address concerns, and ensure client satisfaction.

Purchasing & Sourcing:

Collaborate with estimators to source and purchase project materials and components based on specifications, budget, and lead time. Manage vendor relationships, submit orders, negotiate pricing, and ensure timely delivery of materials. Review vendor contracts, invoices, and terms to ensure compliance with company policies and project needs. Maintain accurate records of purchases, costs, and inventories.

Vendor Management:

Identify and establish relationships with new vendors while maintaining strong partnerships with existing suppliers. Work with vendors to ensure product quality and adherence to project specifications. Resolve issues related to vendor performance, pricing discrepancies, and delayed deliveries.

Budget & Cost Management:

Ensure all project costs stay within the allocated budget and promptly report any deviations. Track project spending and suggest cost-saving strategies where applicable.

Documentation & Reporting:

Maintain comprehensive project documentation, including timelines, purchase orders, change orders, and installation notes. Prepare regular reports on project status, budgets, and procurement activities for senior management.

Qualifications:

Proven experience (2-5 years preferred) in project management and purchasing, preferably within the exhibit, events, or fabrication industries. Strong negotiation, communication, and vendor management skills. Ability to manage multiple projects simultaneously, prioritize tasks, and work under pressure to meet deadlines. Knowledge of material sourcing, supply chain management, and industry best practices. #INDW3
