Office Manager Job Summary:

We are seeking an exceptionally organized, proactive, and detail-oriented Leads Coordinator to join our team. This critical role is the operational backbone of our construction projects, responsible for the coordination, communication, and efficient scheduling of both job sites and sales appointments. You will ensure all projects are on track, documentation is accurate, and timelines are met — from excavation through to project completion.

Key Responsibilities:

Organize, implement, and maintain the ProEdge Scheduling Management System . Coordinate and schedule all phases of pool construction and sales appointments. Serve as the primary point of communication for all subcontractors regarding project timelines. Keep project phases scheduled at least one week in advance at all times. Track job progress and report updates weekly to the Operations Manager and Design/Sales staff. Analyze scheduling data to identify inefficiencies and propose process improvements. Log all new job information into the database on a daily basis. Provide scheduled reports, including: Project Schedule Summary “Sold Not Dug” Report Additional custom reports as required Develop job-type-specific project schedules and coordinate with field staff accordingly. Work closely with sales and construction teams to address any deviations from the project timeline. Interact professionally with customers as needed to confirm scheduling and timelines.

Qualifications:

Proven experience in scheduling, coordination, or project administration (construction industry preferred). Highly organized with strong attention to detail. Exceptional communication skills — verbal and written. Proficient in Microsoft Office Suite; experience with ProEdge or other project management software is a plus. Ability to multitask and thrive in a fast-paced, deadline-driven environment. Strong analytical and problem-solving skills.

Additional Information:

This is not a front-desk or receptionist role. The primary role is to answer phones and schedule lead appointments. You will play a vital role in running the Tuesday Construction Meeting , delivering progress updates and projections to leadership and sales teams. Why Join Us?
