JOB SUMMARY
The Project Specialist is responsible for the day-to-day administration and organization of client projects (working closely with the Project Managers) to ensure that projects and their assigned deliverables are produced on time, within budget and according to the agreed upon scope of work.
ESSENTIAL DUTIES/RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.
Coordinate project management activities, resources, equipment and information to support client and Company for project/service solutions.
Support member selection, recruitment, contracting and invoicing processes including client-specific member spend reporting. Liaise with clients to identify and define requirements and objectives. Manage external team member communications including requests, alerts, reminders, etc. Routine client interactions such as initiating and/or responding to requests on behalf of Project Manager(s). Work to ensure clients’ needs are met. Help prepare project related reports. Monitor project progress and handle issues as they arise. Act as the point of contact and communicate project status to all project members. Create and maintain comprehensive project documentation, plans and reports. Maintain project document archive. Meeting logistics support including availability checks, scheduling, venue research, etc. Creation of accurate and detailed meeting minutes. Assist with preparation of meeting agendas, minutes, and presentation materials. Ensure standards and requirements of the project are met.
Perform data entry tasks and quality checks. Preparation and tracking of project deliverables. Assist with internal system/application testing as assigned. Serve as back-up to Project Manager(s) for assigned project tasks and sponsor meetings, as appropriate. Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.
EDUCATION REQUIREMENTS
BA/BS or equivalent experience required, and 1 to 2 years of related experience.
QUALIFICATIONS/EXPERIENCE
Exposure to project management team environment desired. Must have at least six (6) months of demonstrated administrative experience supporting projects or programs. Critical thinking and analytical skills required. Knowledge of financial management a plus. Knowledge of project management software tools and management techniques a plus. Excellent problem solving/decision making skills. Outstanding written and oral communication skills. Excellent organizational and planning skills with the ability to utilize technology and tools. Excellent interpersonal skills. Strong facilitation and coordination skills. Ability to function effectively in a fast paced environment and manage multiple projects simultaneously. Attention to detail skills required. Must take pride in work product results; strive towards 100% accuracy in work processes. Knowledge of MS Office, specifically Word, Excel and PowerPoint.
