This position plays a key role in supporting project execution, fostering effective communication, and maintaining a productive office environment within the commercial construction sector.
Key Responsibilities:
Project Coordination and Administration:
Coordinate and schedule project meetings, prepare agendas, and document meeting minutes. Assist in planning and scheduling construction projects, tracking milestones, and updating schedules. Prepare project documentation including proposals, contracts, change orders, and reports.
Document and Financial Management:
Organize and manage both digital and paper-based project and office files for easy access and retrieval. Monitor project expenses, assist with budgeting, and process financial documentation such as invoices and purchase orders.
Office Administration and Management:
Ensure the overall operation of the office, including supply management, equipment maintenance, and facility upkeep. Develop and implement office policies and procedures to improve efficiency and workflow. Handle reception duties, manage correspondence, and facilitate communication with clients and stakeholders.
Communication & Liaison:
Serve as the primary point of contact between project management teams, subcontractors, clients, and other stakeholders. Disseminate project updates promptly and manage office communications effectively.
Compliance and Safety Support:
Support project and office compliance with company policies, legal requirements, and safety regulations. Assist with health and safety documentation and initiatives both in the office and on project sites.
