Job Summary:

As a Project Coordinator you will play a crucial role in the success of our construction projects by providing administrative support to our project managers and internal teams.

Essential Duties & Responsibilities:

Prepare and maintain project documentation, including contracts, change orders, RFIs, and progress reports. Assist in preparation and submission of bid packages and pre-qualification documentation forms. Supports the preparation of budget and forecast reports to ensure projects align with initial cost specification documentation including change directives, change order, and other documents, as required. Prepare internal and external reports pertaining to job status. Monitor project progress and performance, identifying and resolving any deviations from the plan. Coordinates purchase of necessary supplies, equipment, and services from appropriate sources. Research and resolve invoice discrepancies and help efficiently resolve any billing errors and account receivable issues. Communicate with internal teams, contractors, architects, engineers, and other stakeholders to ensure project success. Ensures coordination of the different business areas involved on a project and ensures adherence to deadlines.

Education and Experience:

2 years of related work experience in an administrative support role Proven experience in project coordination and/or management in the HVAC industry preferred. Previous experience working in a construction environment preferred. Experience with reviewing and understanding of construction drawings.

Excellent communication and interpersonal skills, with the ability to interact effectively with clients, team members, and external partners. Detail-oriented, organized and continually strives for accuracy and quality. Ability to work independently or as member of a team. Self-starter, with the ability to problem solve and follow-through with minimal supervision. Strong analytical skills. Proficiency in Microsoft Office Suite.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer, standing, bending, reaching with arms, stoop, kneel, or crouch, and walking. Requires manual dexterity with normal hand/finger movement and coordination. Talking, hearing, and seeing are important elements of completing assigned tasks.
