Position Description This is a Part-Time, Non-Civil Service position with Metropolitan Action Commission (MAC). This position will work under the direct supervision of the Executive Director. •Extensive Background Checks and random drug tests are performed on applicants for this position with MAC.
Schedule:
Hours may fluctuate based on workload, seasonality, or project timelines. A typical week may not always follow a fixed schedule. Typical Duties Perform highly responsible administrative work, conducting or providing project oversight for a variety of organizational initiatives to assist in carrying out the Strategic Plan objectives of the Metropolitan Action Commission. Convene agency team members to assist in planning, designing and implementing key organizational initiatives while exercising considerable initiative, independent judgment, and discretion, especially when clearly defined guidelines are needed. Communicate overall Special Project goals and requirements and as appropriate, project goals, status, and progress throughout the Program to identified key customers and agency team. Coordinate participation of work groups, individuals, and stakeholders. Develop Special Project Management Plans and Implementation Plans as necessary based on specific project needs and designs. Provide operational assessments using external consultants and consulting service contracts where needed. Work in conjunction with internal departments in implementing and monitoring budgets for all assigned special projects. Develop mechanisms to track the implementation of each special project and distribute appropriate project management reports outlining the implementation, status updates and resulting outcomes. Manage the timely completion, implementation, and testing phase of special projects through both direct involvement as well as working through teams and departments to ensure quality outcomes. Interface regularly with the director of Transformation and Information to ensure project data goals are established, measured, refined and in line with the Human Services Value Curve. Board Liaison Work in coordination with the Board and specifically, the Executive Director Evaluation and Search (EDES) Committee to: Plan for and conduct the search for a new ED (with help from MAC’s Director of Communication and Engagement, HR Manager, and members of Metro’s HR team)
Develop search timeline
Facilitate meetings and communication with Board members, Central HR as it relates to the search
Hit relevant targets
Implement a succession plan, including transition period for the interim/new executive director
Schedule (and prepare for) meetings between the EDES committee and the interim/new ED with a focus on:
Building positive working relationships; supportive of the ED and building/strengthening strategic stakeholder engagement
Planning and executing 30-60-90-day priorities, strategy, and longer-term performance goals
Facilitating performance feedback; progress reports
Establishing, communicating, and implementing a review/appraisal process
Support the Interim/ED throughout the transition period (first six months).
Develop an onboarding plan, inclusive of scheduling orientation with the outgoing ED
Provide support for meeting Board timelines and insights into content as an observer within meetings with the EDES Committee and the entire Board
Communicate potential issues during the transition as it relates to the organization. Minimum Qualifications Minimum of a bachelor’s degree and demonstrated experience and success related to organizational management, grants management, policy development and creation, staff development, and or organizational change and, two (2) years of Demonstrated experience leading complex projects using project management best practices. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government. Preferred Experience, Knowledge, Skills, and Abilities Project management professional certification. Advanced proficiency in using MS Excel and any project management tool.
