Full Job Description General Position Summary:

The person filling this position has the responsibility of assisting the Property Manager and Board of Directors to achieve their goals and objectives. The Assistant Manager is responsible for handling tasks delegated to them by the Property Manager and Board of Directors. Duties, responsibilities, and schedule may change at any time at the discretion of the Board of Directors or Property Manager . Responsibilities include but are not limited to: Assist Property Manager in planning & noticing Board Meetings, Committee Meetings, Annual Meetings and Elections. Responsible for maintaining the Community Website and ensuring that all information is up to date and accurate. All items should be uploaded in PDF format. Schedule, Coordinate & Book all Holiday Community & Social Committee Events Attend and assist in preparations to include setup of decorations for all Community Events/Social Functions at the direction of the Property Manager and Board of Directors. Report all concerns, including but not limited to incidents, damages, injuries, to PM immediately. Respond professionally and courteously to inquiries from the Board, residents, employees and others. Assist HO’s by creating keycards and gate transponders. Assists owners by answering questions in person, by email or phone. Assist owners with Dwelling Live/Portal/Account issues and questions. Collect and process payments for key cards, gate transponders, ARC Application deposits, speeding fines, etc. Utilizes check scanner to submit payments to main office/accountant daily or as checks are received. Upload new owner approvals and deeds. Set up new HO’s in Vantaca. Send new residents Association Welcome letters and assist with setting new residents up for success. Responsible for sending Community Blasts including but not limited to: Vendor Service Calendars; Community Events; Updates; Safety Concerns; Storm Preparation; Severe Weather Updates; Amenity Openings/Closures; Board Meeting Notice and Agendas; Committee Meetings; etc. Responsible for creating, updating, monitoring and closing all landscaping vendor work orders. Ensures that work orders are being delivered electronically to vendor as well as printing a hard copy for vendor to obtain in specified vendor folder. Responsible for communicating the status of work orders to HO’s and confirming with HO that work order was completed to satisfaction. Assist PM in ensuring that the general maintenance and cleaning of community facilities is being performed to the required specifications. Immediately report any deviations to the PM so issues can be addressed, and standards maintained. Collect packages from Owners for ARC Meetings. Review to ensure all documentation was provided. Create ARC Agenda and Package with all necessary documentation. Present to Property Manager for review and approval. Once approved by PM, send to ARC Committee for review no later than the Friday prior to the meeting. Ensure all packages are complete before moving the packages forward to the Committee. Confirm quorum to ARC and Fining Meetings (preset dates). Attend ARC Meeting monthly Responsible for completing violation runs throughout the entire community, a minimum of 2 days per week. Additional compliance runs may be required if directed by Board or Property Manager. Constant follow-up of complaints/concerns by Members may require additional compliance runs. Create violations for non-compliant owners. All violations are to be emailed using the property management software as well as formally mailed. Follow up on violations to ensure compliance and close violations as necessary. Provide detailed report of all violations (including the step phase of the violation) to Property Manager by end of business on Friday of each week. Follow Up on open violations and step-up violations as timeframes in community documents indicate. Create violations, email utilizing property management software and formally mail. Create Fining Agenda and Package with all necessary backup documentation. Present to Property Manager for review and approval. Once approved by PM, send to Fining Committee for review no later than the Friday prior to the meeting. After Fines are formally approved, send complete violation packages of fines approved to move along to Collections to PM &Board. Work with PM to ensure these packages are sent to Attorney for follow-up. Follow-up on all complaints requiring violations. Any other task deemed necessary

Schedule:

Monday through Friday, 8:30am to 5pm and some weekends including Holiday Weekends.

Salary:

Up to $55k
