Position Overview:
We are seeking a professional, organized, and service-oriented Assistant Property Manager to support daily operations at our 240-unit garden-style condominium community, consisting of 19 residential buildings. This individual will work closely with the Property Manager to ensure smooth community operations, resident satisfaction, and timely coordination of administrative and maintenance tasks.
Key Responsibilities:
Assist in the day-to-day management of the condominium, ensuring compliance with community rules, policies, and governing documents. Serve as a primary point of contact for residents, addressing questions, concerns, and service requests promptly and professionally. Coordinate with vendors, contractors, and maintenance staff for work orders, repairs, landscaping, and building upkeep. Help maintain accurate records for unit owners, maintenance logs, violations, insurance certificates, and vendor contracts. Assist in preparing for and attending board meetings, including taking minutes and organizing related materials. Support in managing work order tracking systems and follow-up procedures. Handle administrative tasks such as issuing notices, filing documents, updating databases, and responding to emails. Monitor common areas to identify issues and ensure cleanliness, safety, and curb appeal. Help coordinate move-ins/move-outs and ensure compliance with community procedures. Support financial processes such as invoice coding, collections follow-up, and budget tracking under direction of the Property Manager.
Qualifications:
Prior experience in property management or administrative roles, ideally in a condominium or multifamily setting. Strong communication, customer service, and problem-solving skills. Ability to multitask, prioritize, and remain calm under pressure. Familiarity with property management software (e.g., AppFolio, Yardi, TOPS) is a plus. Basic understanding of condominium rules, regulations, and Florida HOA/condo laws (CAM license preferred but not required). High school diploma or equivalent required; associate’s or bachelor’s degree a plus. Bilingual (English/Spanish) a plus, depending on the community demographic.
