Position Overview:
The Property Associate (PA) plays a critical role in supporting the property management team responsible for one or multiple buildings. This position ensures operational excellence by handling administrative functions, providing accounting assistance, and maintaining positive relationships with tenants, clients, and stakeholders. The PA is expected to deliver superior customer service and maintain organizational efficiency. This role is based on-site. Local market requirements may vary.
Key Responsibilities:
Accounting & Financial Support:
Process accounts payable (A/P) by reviewing and coding invoices for payment. Assist with accounts receivable (A/R) functions, including billing, collections, and adjustments. Track administrative expenses to ensure budget compliance and identify cost-saving opportunities.
Lease & Contract Administration:
Manage document processing related to lease execution, distribution, and filing. Track lease notification requirements to ensure timely distribution and compliance. Assist with vendor contract creation, execution, and tracking.
Office & Administrative Management:
Maintain organization of office space, correspondence, and document filing (physical and virtual). Manage incoming and outgoing mail and packages efficiently. Coordinate conference room reservations, department meetings, events, and travel arrangements. Maintain and update contact databases for employees, clients, and customers.
Tenant & Vendor Relations:
Serve as a primary contact for tenant requests, work orders, and inquiries, ensuring timely and professional responses. Ensure tenant and contractor insurance certificates meet compliance standards and track expiration dates. Facilitate tenant onboarding, orientations, and move-in/move-out procedures. Maintain regular contact with maintenance, security, and building staff to ensure property upkeep and security.
Compliance & Risk Management:
Assist with management and engineering audits by maintaining accurate records and files. Document and report incidents related to property and equipment liability. Ensure compliance with safety regulations and organizational standards.
Qualifications & Skills:
High school diploma required; bachelor’s degree (BA/BS) preferred. Minimum of 1 year of experience in commercial real estate, property management, or office administration. Proficiency in Microsoft Office Suite with the ability to learn new technology programs. Strong attention to detail, organization, and multitasking abilities. Excellent oral and written communication skills. Ability to work independently and collaboratively with various teams and stakeholders. Strong problem-solving and adaptability skills. Capacity to manage deadlines and work under pressure. Willingness to occasionally work flexible hours beyond regular business hours.
Physical Requirements:
Ability to sit, stand, walk, and perform various physical activities as required. Capability to lift up to 35 pounds and navigate stairwells when necessary. Comfortable using keyboards, screens, and telephones for prolonged periods. Reasonable accommodations will be provided as needed.
