The Assistant Property Manager supports the Community Property Manager in the daily operations and overall management of the property. This role involves a mix of administrative, maintenance, vendor, and resident relations responsibilities, ensuring the property is maintained to high standards, all Condo regulatory requirements are met, and residents receive prompt and effective service. Coordinate tenant communications, address concerns, and respond to complaints promptly. Assist in managing property budgets, expenses, and tenant billing. Ensure compliance with property rules and local Florida regulations. Help with lease renewals, preparation of contracts, and tenant documentation. Oversee move-in and move-out processes for tenants, ensuring smooth transitions. This role requires strong organizational, communication, and problem-solving skills to support property management operations effectively. Detail-oriented individual who can maintain positive relationships with residents, board, staff, and vendors.
Key Responsibilities:
Administrative Support & Reporting:
Prepare, review, and manage administrative paperwork, ensuring accuracy and timely submission. Assist in the preparation of weekly reports to keep the Board of Directors informed. Coordinate and schedule Board of Directors and homeowner meetings, including preparing and distributing meeting minutes and notices.
Maintenance & Emergency Response:
Monitor maintenance requests, complaints, and emergency repair situations (e.g., water leaks or intrusions) to ensure timely resolution. Conduct regular community inspections to maintain property appearance and identify repairs. Coordinate with maintenance staff, contractors, and the Chief Engineer to ensure repairs are completed efficiently and safely.
Contractor & Vendor Coordination:
Review invoices for accuracy, verify that services and materials were received, and approve payments. Manage vendor contracts, negotiate pricing, and maintain updated records of contracts and vendor contact information. Oversee contractor work during projects, ensuring permits are displayed and construction complies with community rules and regulations.
Resident & Community Relations:
Handle resident complaints regarding structural issues, maintenance concerns, and rule violations. Issue necessary correspondence, such as violation letters, resident approval letters, and notices. Support community events and initiatives, assisting staff in resolving broader community issues.
Safety & Compliance:
Ensure all work and activities comply with Condo policies, as well as local, state, and federal regulations. Monitor safety reports from security and engineering teams, addressing unsafe conditions promptly. Assist with maintaining communication equipment (e.g., two-way radios) and coordinating related processes.
Qualifications:
Previous experience in property management, or a related field. CAM License is a plus. Strong organizational, communication, and multitasking skills. Proficiency with Microsoft Office, My Green Condo, Enumerate (bookkeeping system) and property management software. Knowledge of local and state property management regulations. Ability to work independently and collaboratively in a dynamic environment.
