Job Description:

The Community Property Manager (LCAM) is responsible for overseeing daily operations, administrative processes, and emergency response procedures to maintain a well-managed, efficient, and safe community. This role demands strong leadership, excellent organizational skills, attention to detail, and a solid understanding of construction compliance and community regulations. The LCAM effectively manages vendor relationships, supervises staff, and coordinates with various departments to ensure community operations run smoothly.

Key Responsibilities:
Operations & Administration:

Develop and implement procedures to maintain an orderly and efficient workflow. Manage and ensure accuracy and timely submission of administrative paperwork. Prepare and submit weekly reports to keep the Board of Directors informed on community matters. Schedule regular and special Board of Directors and homeowner meetings (e.g., budget discussions, elections) and prepare meeting minutes.

Emergency Response & Maintenance Management:

Lead the emergency response team, ensuring proper handling of incidents such as fires, floods, security threats, and injuries. Monitor maintenance requests, complaints, and emergency repairs (e.g., water leaks or intrusions) to ensure a timely resolution. Conduct regular community inspections to ensure timely repairs and uphold the community’s appearance. Coordinate with the Maintenance Supervisor and Chief Engineer to manage maintenance operations and supply inventories.

Staff Supervision & Personnel Management:

Recruit, screen, hire, train, and onboard new personnel in line with company directives. Provide leadership, ongoing training, and performance management to ensure staff efficiency and teamwork. Address performance concern with timely action plans, documentation, and appropriate escalation when needed. Ensure all personnel-related administrative tasks are completed accurately and on time.

Vendor & Contractor Coordination:

Review invoices for accuracy, verify that services or materials have been received, and approve payments. Oversee vendor contracts, negotiate pricing or cost increases, and maintain updated records of contracts and vendor contact information. Obtain contractor proposals for projects and repairs, secure Board of Directors approval, and monitor project progress. Verify permits, ensure contractors display them appropriately, and ensure all paperwork is completed to close construction cases. Conduct inspections of common areas to assess construction-related damages prior to approving security deposit returns.

Resident & Community Relations:

Manage resident complaints regarding structural issues and coordinate appropriate resolutions. Issue and review key administrative documents including Mortgage Questionnaires, Estoppel Letters, Resident Approval Letters, and authorization letters for permit applications. Monitor security and Chief Engineering reports, and handle violation letters, including coordinating with the Grievance Committee and updating committee contact information. Prepare and distribute community notices and review resident correspondence to ensure clear and effective communication. Collaborate with office staff to organize and complete the election process, including the preparation and mailing of notices and packages.

Qualifications:

Require CAM License. Previous experience in property management for Florida Condo or HOA. Proven leadership and management experience in property management. Strong organizational and problem-solving skills with meticulous attention to detail. Excellent communication and interpersonal skills for effective collaboration with staff, vendors, unit owners, and the Board of Directors. Knowledge of construction compliance, community regulations, and relevant safety protocols. Ability to manage multiple tasks and prioritize responsibilities in a dynamic environment.
