SUMMARY:
The Property Manager is a highly motivated, service-oriented professional responsible for the comprehensive management and daily operations of the Principal’s Miami residence and additional properties. This role ensures seamless execution of property maintenance, staff coordination, vendor oversight, and special projects, all aligned with the Principal’s standards of excellence. With a strong background in luxury service environments, the Property Manager brings a polished, anticipatory approach to hospitality, consistently delivering an exceptional experience for the principal, family, and guests. ROLES AND RESPONSIBILITIES
The Property Manager will be responsible for the maintenance, service, and safety of residential structural operations including the following:
Primary Responsibilities:
Primary liaison for the Family between the condominium management, vendors, and staff. Oversees and supervise staff. Willingness to assist with household service tasks, including light housekeeping, guest readiness, and event support, as needed. Oversee maintenance of the residence including, HVAC, plumbing, electrical, landscaping, pools, and smart home systems. Maintain onsite presence during emergencies to protect and preserve units and contents. Responsible for overall preservation, upkeep, cleanliness, and sanitation of the residence. Ensure the estate is always guest-ready and maintained to the highest standards. Regularly monitor and schedule preventative maintenance services. Ensure proper safety operation instructions are maintained and adhered to for all equipment. Manage preventative maintenance and upkeep for severe weather disturbances; includes daily checking of wind gust, wind direction, and tide level, and climate control measures to protect delicate materials from humidity and air. Oversee the movement, placement, safekeeping, and storage of fine art, antiques, and collectibles, ensuring proper handling, maintenance, and long-term preservation of each item. Oversee contractor relationships including contractor selection, negotiation of services and material bids, and invoice approval. Implement new software systems to improve efficiency and streamline operations, while training staff to ensure successful adoption and effective use for Miami and other Family properties. Oversee indoor and outdoor pool care and maintenance. Manage landscaping and ground manicuring duties, irrigation monitoring and minor repairs. Prepare properties for indoor/outdoor events. Provide hands on duties in various trade areas including landscaping, basic carpentry, electrical, housekeeping, and high-end automobile detailing. Create multi-year succession planning/training for Property Manager position.
Reporting:
Provide daily/weekly reporting to principal. Submit monthly purchasing report to principal. Submit annual service and maintenance expense report to principal.
Staff Training:
Train staff members on proper standard operating procedures operation and basic troubleshooting of various systems. (HVAC, plumbing, irrigation, AV system, etc.)
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Must have 10+ years of experience in on-site property management. Prior supervisory experience with the ability to manage deadlines, set accountability and high expectations for team members and create a high-functioning, collaborative work environment.
PREFERRED SKILLS
Excellent verbal and written communication skills. Proficiency with Microsoft Office including Excel for reporting needs. Excellent organizational, problem solving, and interpersonal skills; ability to give and receive feedback graciously. Knowledge of fine dining etiquette. Formal service training (e.g., F&B service certifications, private estate hospitality training) Impeccable attention to detail. Ability to work with a high level of confidentiality. A passion to serve in a way that demonstrates respect and care for Principal, family members, guests, and staff; exceeding expectations while having fun along the way.
ADDITIONAL REQUIREMENTS
Must be available on holidays and weekends for staffing needs and/or emergencies. Must be available to remain in residence during emergencies and/or inclement weather. Travel (5% of the time) to inspect and manage other properties. Must have valid driver’s license and automobile insurance. Must be able to lift up to 50 pounds regularly.
