POSITION DESCRIPTION

ROLES AND RESPONSIBILITIES

Responsibilities include working closely with association’s Board of Directors and/or the declarant/developer to manage and operate the community’s day to day functions. Strong management skills, customer service and supervisory skills are required.

SKILLS QUALIFICATIONS AND REQUIREMENTS

High school diploma or equivalent is required. Either a Georgia issued Community Association Management (CAM), Real Estates Salesperson or Brokers license. Strong verbal and written communication skills Valid driver’s license and automobile insurance. Positive attitude, dependable, honest and eager to learn. Able to meet and complete deadlines and time frames requested. Create annual draft budgets for the Board review and completes final versions. Manage resident relationships to ensure resident retention and a high level of service including timely and complete resolution of residents’ concerns, coordinating special services and requests and conducting formal and informal inspections. Coordinate the repair and restoration process by contractors engaged by Associations with the day to day activities of the Association. Listen attentively to questions, comments and feedback. Communicates in a professional and composed demeanor under all circumstances. Respond to phone calls and correspondence in a timely, professional manner within 24 – 48 business hours. Display exceptional ability to analyze and deal with a variety of situations that otherwise could be potential problems. Maintain a professional relationship with the Board of Directors, association members and vendors. Respond to questions accurately when asked and possess good communication and composition skills. Ability to run Board meeting/town hall/annual meetings when necessary according to Robert’s Rules of Order. Prepare professional presentation of reports, budgets, bids, etc. Support the Company’s philosophy, goals and adheres to Company policies. Offers helpful input when asked for suggestions to make improvements for associations, company etc. Observe all safety standards and participates in the Company’s efforts to provide safe work environment. Understand and follow directions given by direct supervisors as well as the Board of Directors and sees them through completion. Act quickly and effectively when the situation demands it. Organize time effectively and successfully balance the competing demands of multiple projects. Attend monthly staff meetings. Monitors contracts regularly. Send cancellation notices in a timely manner. Handle contract evaluations professionally. Complete community calendar and annual processes accurately. Maintain financials. Prepare bid comparison analysis spreadsheets. Prepare and uses of RFP for bid solicitation (Request for Proposal with scope of work detailed). Process violations and maintain the escalations and closures thereof. Process work orders and maintains the escalations and closures thereof. Monitors deficit funding and surplus while providing advice to the Board of Directors. Reviews financial statements with clear understanding of the content and priority. Must be available to take emergency calls after hours should a situation arise. Monitor aging report and timely legal action in accordance with the governing documents and policy in place.

PHYSICAL REQUIREMENTS

This position often involves walking and standing, bending, stretching, and use of stairs. Other physical requirements include regular sitting and using office equipment, including telephones and computers and may also require some light lifting of files.

Experience:
Residential/Commercial Community Management:

1 – 2 years (Preferred but not required) CINC Management Software familiarity is a plus, but not required.

Education:

High school or equivalent (Required)

License:

Driver’s License (Required) Community Association Manager (CAM), Georgia Real Estate Salesperson, or Brokers license is required.
