JOB SUMMARY
The Senior Vice President, Property Management is responsible for all operations of the property management portfolio, with a focus on optimizing revenue and NOI while preserving assets by developing strategies for individual properties; creating, modifying and enforcing policy for efficiency in operations; team member development and a positive and attractive environment, and leading by example. The SVP, Property Management participates in lives and promotes our Mission and Values.
Financial:
Responsible for overall portfolio financial performance, creation and achievement of annual operating budgets, expense control, timely preparation and analysis of monthly Profit and Loss Statements and initiation of strategies for improvement of financial performance. Leads the budget process including establishing income and expense benchmarks, turnover expense guidelines, staffing levels, rent increase percentages and other strategies. Execute short and long range goals, benchmarks, projects and budgets for portfolio. Monitor, and make recommendations for; revenue plans, delinquencies, deposit procedures, resident reimbursements and processing of payables for the best interest of the company. In conjunction with the Construction Division, lead the team in monitoring turnover procedure for damage assessment, turnover costs and fees associated with the preparation of statement of security deposits. Lead the team in developing and implementing cost saving strategies to reduce budgeted expenses, utility expenses and short-term contracts/services including courtesy patrol, alarms, pool maintenance, pest control, landscaping, trash, flooring, window coverings, maintenance supplies, services and products, uniforms, office supplies and advertising. Empower Regional Leaders and Property teams to make recommendations for capital improvements and deferred maintenance. Responsible for the timely and on-budget completion of all major projects, capital expenditures and upgrades. Lead the team in reviewing delinquencies, making recommendation for action. Prepare accurate and timely financial reports, analysis, and budgets. Orchestrate monthly financial reviews with Regional Managers. Administer and monitor bonus programs as established.
Sales & Marketing:
Monitor, direct and regulate leasing activity and market rates to maximize occupancy and reduce percentage between physical and economic occupancy to no more than five percent. Maintain an ongoing, in-depth knowledge of the market, market rents, market trends and demographics to gain a competitive edge. Responsible for monitoring and compliance with all Fair Housing regulations, and compliance with local ordinance and laws as they relate to the company demonstrating at all times, firm, fair and consistent administration of all company policies and legal practices. Monitor property operations to ensure vacant apartments are in market ready condition, 3-5 day downtime standard for preparation of market ready apartments and to be defined turn for upgrade units. Ensure rent levels are at or above marketplace performance.
Customer Service:
Lead the team in ensuring that the response to service requests policy adheres to defined timeframe. Ensure resolution of resident issues, per best business interest within the guidelines of Fair Housing and both state and federal law within a 24-hour period. Review and approve resident reimbursements. Lead the team in reviewing and assessing resident retention programs and preferred employer programs, modifying to meet resident needs and reduce turnover. Ensure excellent customer service or follow up, courteous and professional attitude toward all team members and customers and encourage an environment that provides open communication.
Administrative and Operations:
Conduct written property inspections to ensure appropriate levels of curb appeal as well as both office and team member appearance, and determine appropriate action needed. Partner with the Construction Division to review bid summaries, service contracts, vendor information and insurance documentation. Conduct periodic team meetings, in person or via phone, for each property. Implement policies and procedures and provider oversight to ensure compliance on the team level. Provide leadership in the development and acquisition of new communities. Oversee worker’s compensation and safety standings recommending action plans to reduce injuries, damages and claims.
People Development:
Recruit and select Regional Managers and support the team in hiring of other property team members, understanding and adhering to the hiring policies and procedures. Train, coach, and mentor Regional and Community Managers and other property team members; ensure team members receive necessary training and adhere to company policies and procedures.
Create a team environment:
hold regular team meetings; manage by establishing achievable goals, manage by results and communicate openly with all team members. Provide ongoing feedback to team members. Evaluate direct reports through scheduled formal written performance reviews. Take corrective action as necessary according to company policy. Provide recommendations for compensation adjustments, promotions, and terminations. Lead by example. Accept accountability for yourself and hold direct reports accountable, know and adhere to the law, the company mission, vision, values, and policies. Maintain professional dress and conduct at all times. Perform other duties as required.
MINIMUM EXPERIENCE/TRAINING/EDUCATION
BS, BA or equivalent. Fifteen years of real estate or property management experience. In-depth knowledge of budgets and financial statements and ability to work within budgeted guidelines. Ten years of experience in direct supervision of management staff of three or more. Working knowledge of Fair Housing and other legal issues affecting property management. Proficient computer skills including Word and Excel. Excellent communication skills, both verbal and written.
ADDITIONAL DESIRED QUALIFICATIONS
MBA and CPM. RealPage, or any other major property management software experience. Computerized accounting experience. Renovation and lease up experience.
