Job Title:
Office Manager Summary/Objective:

This is NOT your average Office Manager Position! Presenting an exceptional opportunity for an Office Manager looking to elevate their ​administrative skills! We are seeking a highly organized and proactive administrative professional to maintain the efficiency of our current systems and processes, while also collaborating with the team to foster continuous improvement and growth. This role offers diverse opportunities to engage with various aspects of our business, including Marketing, Accounting, Maintenance, and Customer Service, making it ideal for a creative and forward-thinking individual. The ideal candidate will possess a strong foundation in administrative support, including proficiency in MS Office and Google Suite. Familiarity with property management software such as Appfolio or Buildium is a plus but not mandatory. Excellent written and verbal communication skills are essential, along with a professional presence and the ability to consistently present a friendly and helpful attitude to all contacts. A typing speed of 50+ words per minute is preferred. This is a dynamic and evolving position that promises a fast-paced and engaging variety of responsibilities.

Essential Functions:
Administrative Support:

Manage phone calls and correspondence (e-mail, letters, packages, etc.) Answer Front Desk Line Assist with all property related questions for non residents, applications and showing requests Maintain office filing systems, both electronic and physical Clothing Inventory Supplies and Stock Holiday and Birthday coordination (with EA assistance) Schedule showing appointments for property managers Take time to offer showings at similar units nearby when available Receive and forward or respond to correspondence from Info@email Create list for needed office supplies for EA bi weekly and maintain inventory Take over ordering once settled in Process invoices and handle basic bookkeeping tasks Assist with lease administration and tenant onboarding Manage vehicle fleet information Monitor and reconcile gas cards and miles on fleet vehicles Track and schedule oil changes and other routine maintenance Oversee Verizon Connect data Monthly inspection reports- collect and file from vehicle drivers Log and track services

Marketing Support:

Posts and monitors available properties on Facebook and Instagram using appfolio supplied info and photos Removes post upon notification from Property Management Team Manages and responds to google reviews

Customer Service:

Greet visitors and provide assistance to tenants and vendors Respond to inquiries and resolve issues in a timely and professional manner Build and maintain positive relationships with tenants and vendors

Financial Support:

Receive and scan bills mailed to 235 West Rd separated by vendor to Billing@ Track expenses and prepare basic financial reports for supplies and vehicles

Excellent verbal and written communication skills with the ability to interact effectively with tenants, vendors, and colleagues.

Technology Skills:

Proficient in Microsoft Office Suite (Word, Excel, Outlook) and property management software (if applicable).

Required Education and Experience:

High school diploma or equivalent 4+ years of experience in an administrative or office management role Experience in the property management industry is a plus

Preferred Education and Experience:

Associate’s or Bachelor’s degree in business administration or a related field Experience with property management software (e.g., AppFolio, Yardi, Buildium) Knowledge of basic accounting principles

Physical Demands:

Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 25 pounds at times.

Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are typically Monday through Friday, 9-5p (or 8:30-4:30).

Job Type:

$18.00 – $23.00 per hour Expected hours: 40 per week
