Description Job Overview:
As a Leasing Coordinator, you’ll be responsible for managing a range of leasing-related administrative functions to support the efficient operations of the leasing department. Your duties will include setting up new resident accounts, updating tenant information, drafting and managing lease renewals, creating correspondence templates, maintaining property databases, and assisting with various leasing duties as needed. This hybrid role is available at our downtown Manhattan office.
Your Responsibilities:
Utilize Yardi, MDS, and On-Site to create and manage resident accounts, ensuring accuracy and completeness of lease documentation and payment records. Review and process new leases and renewals, confirming inclusion of all required riders, signatures, and documentation via On-Site and DocuSign. Coordinate with Property Managers, Accounts Receivable, Financial Analysts, and AZ Realty NYC to ensure seamless leasing operations and communication. Draft, revise, and submit lease renewal offers; update resident ledgers, contact information, and post renewals in Yardi and MDS. Conduct audits and follow-ups on incomplete files, missing signatures, and unresolved issues, placing accounts on legal or hold status when necessary. Maintain and update leasing templates, Smartsheets, and Zendesk tickets to support efficient workflow and resident communication. Attend team, division, and property-specific meetings to stay informed and contribute to issue resolution and process improvements. Respond to all leasing-related email correspondence within a 24-hour business turnaround. Train new leasing staff on departmental procedures, software platforms (Yardi, MDS, On-Site, CamAcct, Connect), and workflow expectations. Support leasing operations during staff absences, including preparing and mailing renewals, scanning, filing, and conducting resident move-ins. Track and maintain proof of mailing documentation and ensure timely uploading and filing of all leasing documents.
Skills & Qualifications:
Associate’s Degree or higher in Real Estate, Hospitality, Business Administration, or another related field; or equivalent combination of education and experience. Minimum of 1 year experience in leasing administration, property management, or equivalent experience in another related field. Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions. Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time. Superior oral and written communication skills.
