Role:
We manage 100+ rental units, mostly student housing and residential, and we’re looking for a sharp, reliable assistant to support daily operations. You’ll help with leasing, move-ins/move-outs, vendor coordination, tenant communication, and administrative tasks. Experience in property management or real estate admin is highly preferred.
Key Responsibilities:
Leasing Support Respond to inquiries and schedule showings Process rental applications and background checks Prepare lease agreements and renewal documents Update listings and photos on rental platforms Tenant Communication Answer tenant questions by phone, email, or portal Track maintenance requests and assign vendors Send notices (rent reminders, late fees, renewals, etc.) Admin & Operations Coordinate move-in and move-out checklists Schedule cleaners, handymen, HVAC, etc. Track utility setups and shutoffs Manage property management software (AppFolio) Maintain organized digital files (leases, keys, reports) Bookkeeping Support (Optional, if skilled) Assist with rent roll, security deposit logs, invoicing Match vendor invoices to work completed
Ideal Candidate Will Have:
Experience in property management or real estate admin Strong communication and organizational skills Comfortable with scheduling and multi-tasking Experience with AppFolio or similar software (preferred) Self-starter who can work independently Calm under pressure — especially during turnover season Tech-savvy (Google Drive, Excel, tenant portals)

pittsburgh pa 15213 Must be available during regular business hours Bonus Skills (Not required but helpful): Familiarity with lease agreements and legal notices Basic understanding of maintenance workflows Knowledge of student rentals or multi-unit housing Spanish or other language fluency Daily Tasks Respond to tenant emails, texts, and maintenance requests Answer new rental inquiries & schedule showings Update and monitor leasing platforms (Zillow, Apartments.com, etc.) Log maintenance issues and assign to vendors Check AppFolio for rent payments or flags Forward any emergencies or escalations to you Weekly Tasks Process rental applications (credit, background, landlord checks) Send lease offers, renewals, or notices to vacate Follow up on outstanding maintenance jobs Coordinate and confirm vendor appointments (handymen, cleaners, HVAC, painters) Update rent roll or occupancy report Track and confirm utility switchovers for new move-ins/move-outs Post and remove listings as needed Review AppFolio reports for issues, late rent, or missed payments Organize digital lease files and tenant folders in Google Drive Monthly Tasks Draft and send late rent notices (5th-10th) Review and reconcile vendor invoices and receipts Assist in generating owner reports or maintenance summaries (optional) Track and notify tenants about upcoming lease renewals Schedule regular unit inspections (if applicable) Seasonal / Turnover Period (July-October) Pre-schedule painters, cleaners, and handyman crews Create and maintain a turnover calendar by unit Confirm move-in/move-out dates with tenants Prepare move-in packets and checklist folders Arrange for key pickup/return (lockbox, office, etc.) Ensure each unit is cleaned, repaired, and photo-ready Upload and organize updated listing photos Handle tenant forwarding addresses and deposit refunds Ensure utilities are properly transferred Onboarding Checklist for Assistant (First 2 Weeks) Training on AppFolio workflows (leasing, maintenance, rent tracking) Overview of your portfolio (types of units, location, tenant types) Vendor list: preferred handymen, plumbers, HVAC, painters, etc. Emergency protocol (fire, flood, lockouts) Templates for lease offers, notices, and responses Tour of unit types (optional, if local)
