Job Purpose Summary:
Property Management Coordinator The will assist the Property Managers with various tasks and duties. The ideal candidate should be able to effectively communicate with all co-workers, vendors, tenants/occupants. Be able to support a team with several individuals and have strong multi-tasking skills.
Duties & Responsibilities:
Prepare and process purchase orders and continuing service agreements, and ensure they are signed and all internal parties notified of completion Ensure certificates of insurance are collected, verified for compliance and maintained for vendors and tenants Update database with tenant contact information and vendor information Distribute and file new leases to network drive, accounting software and file cabinet. Process all lease renewals.
Maintain master sheets:
contactor database, tenant emergency contact information, and purchase order log Help maintain and organize property management files: building operation files, tenant lease and correspondence files and building owner insurance policies Prepare letters as needed; assist with tenant notifications and mailings Assist individual Property Managers to reach out to tenant and vendors as needed Under the direction of the Property Manager, assist in the RFP/bid process as needed and in obtaining bids for budgeting purposes Circulate, print and upload leases to network and database Assist Building Services Department with filing and updating log sheets Post maintenance work orders and invoices for billing in property management software Collect vendor W-9’s and upload to database
Other Responsibilities:
Assist the Building Services Department to cover dispatch/scheduling when Manager is out Assist in covering main line phones, mail handling and processing, and outgoing mail when Office Coordinator is out of the office.
Job Requirements:
High School Diploma. Associates Degree in business preferred 2-5 years administrative work experience, some real estate experience preferred Strong attention to detail to achieve thoroughness and accuracy when accomplishing a task High proficiency in all standard business software applications including Microsoft Office Skills (Word, Excel and Outlook), and Adobe Acrobat Demonstrated organizational skills (from basic filing to process writing) Ability to interact with other departments within the organization: Brokerage, Accounting, Building Services, and Marketing Flexibility working in an environment with changing priorities High degree of professionalism in both speech and manner
