The Assistant Vice President, Property Management is a key leadership position supervising a team or teams delivering management services to a number of clients. This role may be directly tied to a client account or portfolio, responsible for day-to-day management of real estate as well as leadership of Property Management services in a geography/region/market.

Essential Duties and Responsibilities:

Coordinate team response to tenant needs, ensuring that administrative and building technical staff respond and resolve problems promptly and follow through to successful resolution; ensure services are provided in compliance with policies, procedures, regulations, and contractual obligations and standards; ensure thoughtful tenant care plans have been created and are continuously delivered; periodically check in with tenants to ensure satisfaction and likelihood of tenant retention; serve as point of escalation for tenant concerns/issues. Ensure teams assigned to tenant onboarding activities properly document and communicate with tenants timely and appropriately; follow up as needed with tenants to ensure a successful transition. Oversee, direct, review, and approve vendor invoice payments following the terms of the management agreement, LPC policies, and property management approval authorization limits. Direct and control preparation and delivery of timely, accurate, and insightful monthly reports as well as annual operating and capital budgets/expenses; oversee timely completion of reconciliation calculations and billings to ensure compliance with company and client timelines. Maintain oversight of contracted terms that impact the financial performance of the asset/company; report on expirations, covenants, restrictions and other encumbrances that drive decision making and asset value. Direct sourcing and procurement activities to effect optimal operations; deliver detailed bid analysis and recommendations to clients that drive value; manage quality of vendor service delivery to ensure contract compliance and desired value. Oversee collection of rent and other charges in accordance with lease terms; proactively report status of AR to Senior Director and Managing Director if anything is impactful to client, with recommendations for action. Ensure teams are following all SOP guidelines. Ensure emergency response plans are in place; oversee and participate in training and drills. Coordinate and lead daily and long-term activities of the team; establish work schedules, assign tasks, and cross-train staff; establish and track deadlines to meet client and company objectives; elevate and maintain high level performance through subject matter expertise and initiatives to improve systems, processes, and procedures; champion business cases for improvement; supervise individual employees within single functional or operational area; approve recommendations for staffing, recruitment, promotion, advancement, corrective action, and termination; provide formal coaching, mentoring, and guidance; develop and deliver performance evaluations. Act as key client relationship agent with regular client contact to ensure asset/fund/company objectives are actively addressed. Perform other duties as assigned.

Qualifications :

Bachelor’s Degree (BA/BS) preferred with 10 – 15 years of relevant experience or a combination of education and experience; commercial office, retail, and/or industrial property management experience required Real Estate License required where mandatory by local regulation, and CPM (Certified Property Manager), RPA (Real Property Administrator), or CCIM (Certified Commercial Investment Member) professional designation or candidacy preferred Intermediate to advanced skills with Microsoft Office Suite, including Microsoft Excel required; knowledge of Yardi or MRI and Kardin preferred Working knowledge of leases, contracts, financial instruments, tax laws, and construction required Excellent written and verbal communication skills; ability to clearly and effectively convey complex topics with a positive tone to achieve operational and relationship objectives Strong interpersonal skills; ability to lead the exchange of sensitive, complicated, and difficult information; convey performance expectations; and effectively handle problems Expert knowledge of financial terms and principles required; ability to forecast outcomes, prepare budgets with long-term capital plans, and deliver insightful variance reports; ability to prepare and make recommendations on financial/business analysis including cost/benefit propositions, ROI analysis, and other complex reports required Demonstrated organizational skills in a fast paced and demanding environment; proven ability to prioritize and deliver results on challenging timelines. Ability to comprehend, analyze, and interpret complex documents and skill to solve problems involving several options; advanced analytical and quantitative skills required Leadership experience and skills to empower team to achieve a broad range of client and company objectives Proven track record for delivering excellent internal and external customer service; ability to successfully interact/communicate with clients/tenants/vendors/contractors as well as teammates and leadership team Ability to travel daily to assigned properties as necessary Ability to work after hours, weekends, holidays, and during emergency situations to meet the needs of the client Ability to read and write English in order to understand manuals and procedures, and to write reports

Physical Requirements:

Ability to sit/stand/walk for long periods of time; manual dexterity to operate a computer keyboard, phone, and other office equipment; eyesight that allows for reading a computer screen, phone screen, reports, etc.; hearing that allows for hearing/understanding spoken words; lifting and carrying up to 20 lbs.
