Position Summary Southern Land Company, a national real estate development and construction firm, is seeking a Part-Time Leasing Assistant to join our dynamic team in Philadelphia, PA. The Leasing Assistant will assist the Leasing Professional with leasing apartment homes, hosting events and providing exceptional customer service to our current and future residents. This position is Part-Time, 3 to 4 days per week and weekends required. Josephine is a twenty-seven-story building featuring 254 luxury apartments that include studios, 1, 2, 3, and penthouse accommodations. Josephine boasts best-in-class amenities, including a 27th floor sun-facing pool, poolside bar and lounge, cutting edge athletic studio, social lounge, a secured parking garage, and a myriad of many other amenities. Essential Functions Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartment communities. Saturday and Sunday hours required.
MARKETING/LEASING/CUSTOMER SERVICE
Greet customers (in-person, phone) and obtaining pertinent information to pass along to the Leasing Professional for further assistance in their inquiries. Maintain a professional/respectful, yet friendly atmosphere in the leasing office and other areas where future residents and residents meet. Assist in inspecting tour routes, models, mini-models, and show apartments daily to ensure cleanliness. Assist in the cleanliness of the property and report maintenance needs to Service Manager/Community Manager. Open and close models and show units at beginning and ending of each day including adjusting lights, blinds, and HVAC. Prepare open/close checklist and distribute to PM daily. Prepare and maintain refreshments, show apartments and model. Complete any daily opening responsibilities and place and promotional materials/signage in eye-catching locations to generate traffic. Assist in achieving all leasing goals assigned by Community Manager and/or Assistant Community Manager. Answer incoming phone calls prior to the third ring in a cheerful and professional manger and handle each call accordingly whether it is a future resident call, upset resident, service request, etc. Display a pro-active attitude when speaking with residents about problems that may arise. Transfer calls to Assistant Community Manager or Community Manager when appropriate. When handling a future resident call, greet enthusiastically, determine their needs, sell the benefits of the community and apartment homes, and strive to make a specific appointment for future resident to visit. Update in Customer Relationship Management System (CRM) with extensive notes. Assist with preparation and execution of outreach marketing. Assist in maintaining an Outreach Marketing Notebook. Assist in preparing move in gift and place it in apartment on day of move in. Walk the apartment with the resident at or before moving in and complete the move in inventory /condition form. Assist in resident retention program, resident appreciation days and special functions as requested. Assist residents via phone, email and in person with questions and service requests in a pro-active, kind, courteous and respectful manner. Ask the right questions to assist the maintenance personnel in understanding what the maintenance needs are of the resident. Create solutions and follow-through to ensure the resident is happy.
ADMINISTRATIVE
Enter all information into CRM, including prospect phone calls, visits, applicants, residents, resident communication, demographics, wants and needs, apartments shown and all activity that applies to the community. Use CRM to manage appointments and tasks, respond to all leads in 24 hours and according to Southern Land guidelines daily. Schedule follow up and record activity in CRM with each prospect and resident. Check email, fax and internet leads frequently throughout the day and promptly reply to all prospective requests. Correctly process all lease applications, collect proof of income, gain management approval, and notify prospective residents of results within 24-72 hours. Schedule pre-signing of lease within 72 hours after approval notification. Schedule move in appointments and freight elevator. Type miscellaneous resident communication as needed. Correctly complete all lease paperwork including related addend and accept rents and deposits. Organize and file appropriate reports, pending application files, move in files, cancelled, and denied applications and leases and paperwork. Inventory office supplies on periodic basis. Report needs to Community Manager. Attend meetings and training as required. Complete any training requested by Property Manager. Assist Leasing Professional, Community Manager and Assistant Community Manager in preparation of reports, resident communications, move out inventory, market surveys, resident communication, etc. Assist with monthly advertising review updates and advertising binder maintenance. Ensure that move in apartment is inspected and packet is complete including all keys ready to go for apartment and storage units. Any special requests from residents require Community Manager approval. Routinely check messages from answering service and respond accordingly. Assist with lease renewals and prepare lease renewals, including weekly calls to renewals and create solutions to meet renewal goals for both retention and financial. Take service requests, enter CRM, print and distribute work orders to maintenance and perform appropriate number of call backs. Complete work orders in CRM on daily basis. Maintain Renters Insurance on all residents including renewals, maintain Rentable Items Status, Birthdays, update email addresses in CRM, resident telephone numbers, demographic/work information, etc. Company Overview Southern Land Company believes that community is the heart of every successful development project.
