Job Description

Economic Development Coordinator The Economic Development Coordinator will perform general Economic Development, Downtown CRA, and Special Events management functions in the Economic Development department, participate in related processes, projects, and events, and assist during Hurricanes or other emergency situations as necessary. The Economic Development Coordinator must be able to perform all essential job functions accurately, appropriately, and confidentially. The Economic Development Coordinator will be cross-trained in several functions to ensure essential department coverage. The work is performed under the general supervision of the Economic Development Director.

ESSENTIAL JOB FUNCTIONS

Assists in preparing and submitting annual operating budget requests for the Economic Development Department.
Processes all vendors, purchase orders and invoices for the Economic Development Department and as necessary and as directed for the Seaplane Base/Marina, Wooton Park and Splash Park operations.
Performs customer service functions as appropriate; greets visitors and receives telephone inquiries and complaints; ascertains the nature of calls/visits and resolves issues or directs to appropriate individual/department or division; answers requests for information from employees and outside agencies; exercises discretion in processing and communicating department matters of a sensitive and/or confidential nature.
Processes a variety of documentations associated with department/division operations within designated timeframes and per established procedures: receives and reviews various documentations, forms, reports, and applications to complete or verify for accuracy; receives & processes invoices, payroll items, project reports, credit card billing statements and travel reports; reviews, completes, processes, forwards or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation necessary to specific department functions; compiles data for further processing or use in preparation of department reports; and maintains computerized and/or hardcopy records.
Assists in obtaining and maintaining an inventory of required department supplies; takes physical inventory counts; obtains quotes online and by telephone; reviews the availability of funds for future purchases; prepares purchase orders; completes data entry for payment processing; receives and verifies the accuracy of orders.
Facade Grant program coordination.
Required to attend training and/or continuing education as the Economic Development Director assigns.
Assists the Economic Development Director with all other related duties as assigned.
Assists with the preparation and coordination of major City events, including working with the Special Events and Operations Manager, event organizers, City departments, not-for-profit groups, and other governmental agencies.
Participates in the setting up and taking down decorations, displays, tables, chairs, equipment, etc., before and after special events.
Assists in event production.
Provides for the maintenance and inspection of supplies and equipment. Composes post-event evaluation reports including analysis of funding, staffing, event success/impact, etc.
Must be available to work in the event of a disaster to assist with recovery response efforts. (These essential job functions are not to be construed as a complete statement of all duties performed. Employees will be required to perform other job-related marginal duties as required.)

MINIMUM QUALIFICATIONS

KNOWLEDGE, SKILLS, AND

ABILITIES

Proficient knowledge of Adobe Photoshop, InDesign, Microsoft 365 Suite. Ability to establish and maintain a professional, effective working relationship with departmental personnel, all levels of employees, City officials, other government agencies, and the public. Excellent analytical, interpersonal, and communication skills. Ability to support the City’s mission, vision, and core values in all aspects of job performance.
Work effectively under pressure and deadlines. May be subject to constant interruptions.
Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.

EDUCATION AND EXPERIENCE

High school diploma or equivalent Three (3) years of administrative support experience.
An associate degree from an accredited college or university with a major in Public Administration, Political Science, Business Administration, Finance, or related field experience is preferred.

A comparable amount of training, education, or experience can be substituted for the minimum qualifications.)

LICENSES, CERTIFICATIONS OR REGISTRATIONS

Possession of a valid Florida Driver’s License

Able to lift and/or move up to 25 pounds
Requires frequent sitting and working in front of a computer for extended periods of time
Good finger/hand dexterity and hand/eye coordination

ENVIRONMENTAL CONDITIONS

Work is performed in a busy office environment and includes a normal range of noise and frequent distractions with very low risks, working around standard office equipment.
Work performed is detailed technical work requiring concentration with frequent interruptions. Works primarily inside an office environment, with frequent outdoor work related to event preparation and operations.
Works in adverse environmental conditions (heat, cold, rain, etc) for long periods.
Work schedule includes after-hours and weekends when required for event preparation, operation, and after-action items.
