Ensures the general promotion of a positive departmental image with the community.
This is responsible administrative, technical and difficult administrative work performing duties which help relieve an administrative supervisor of assigned operational duties. Work is performed under the general supervision of a Department Director or other functional supervisor. Work products are reviewed through personal conferences, proper preparation and execution of written documents, or evaluation of completed assignments to ensure conformance with applicable policies, procedures, laws, rules and regulations.
An employee in a position allocated to this class may have considerable contact with the general public, City officials and City employees. Work performed is often of a sensitive or confidential nature.
EXAMPLE OF DUTIES
Analyzes and recommends solutions to administrative problems;Develops, installs and maintains office systems, forms and procedures;Reviews, evaluates and processes legal documents for recording, indexing and filing in accordance with legal and procedural requirements;Supervises and maintains complex filing systems and records of a confidential nature;Supervises the processing of fiscal records, supplies and funds;Assists in review, computation and processing of budget requests;Researches records and tabulates information as required;Provides answers to inquiries to the general public, public officials, City employees or other individuals requesting assistance or public information.
SUPPLEMENTAL INFORMATION
Thorough knowledge of record keeping practices and procedures;Good knowledge of City ordinances, State laws and regulations relevant to the area of assigned responsibility;Good knowledge of office practices, plus related departmental policies and procedures;Good knowledge of research methodology and report preparation;Ability to understand and follow complex oral and written instructions;Ability to make proper decisions independently in the absence of an administrative superior;Ability to deal effectively with the general public and other individuals in an office environment;Ability to quickly and accurately make complex calculations;Ability to type from clear copy or rough draft at a minimum of 30 net words per minute;Physical ability to perform duties.
