General Statement of Responsibilities:
Under the supervision of the Trust Director, the Trust Services Director Assistant provides clerical, bookkeeping, and junior-level accounting support to ensure accurate financial management, efficient daily operations, and high-quality service to beneficiaries of special needs trusts. Duties – including but not limited to: Clerical Support a. Maintain and organize trust records, client files, and financial documentation. b. Handle beneficiary correspondence, scheduling, and inquiries on behalf of the Trust Director. c. Prepare reports, meeting materials, and other trust‑related documents. d. Perform administrative tasks such as data entry, filing, and supply management. Assist beneficiaries in person and over the phone to address their individual needs. Bookkeeping a. Record financial transactions and maintain ledgers with accuracy. b. Reconcile trust accounts (bank, investment, credit card) and resolve discrepancies. c. Prepare and process disbursements, invoices, and expense reports. d. Track account balances and assist with cash‑flow management. Junior Accounting a. Assist in preparing financial statements and trust‑account reports. b. Support audits and compliance reviews by maintaining detailed records. c. Collaborate with the Trust Director on budgeting and forecasting. Research and resolve discrepancies in financial records or transactions. d. Liaise with external banks and financial institutions as needed. Other Duties a. Support the Trust Director with deadlines, compliance tasks, and special projects. b. Ensure adherence to fiduciary regulations and internal policies. c. Liaise with internal teams, external vendors, and clients as required. Perform additional related duties as assigned. Competencies Strong attention to detail and accuracy in recordkeeping. Excellent analytical and problem-solving skills. Team-oriented mindset with a proactive approach to supporting trust operations. Understanding of fiduciary principles and compliance requirements is a plus.
Interactions with staff:
Foster cooperative, positive working relationships with coworkers, finance staff, and other departments. Communicate effectively with the Trust Director and respond to requests. File paperwork promptly and ensure trust documents are accessible for audits or reviews. E.
Training:
Complete initial orientation provided by the Trust Services department. Participate in ongoing in-service and external trainings, including those required by The Arc. Stay informed of changes in fiduciary regulations and best practices. F. Policies and Procedures Follow all Agency policies and procedures, including confidentiality and records retention. Adhere to quality‑assurance expectations and compliance standards. Observe all safety and security protocols; report any hazards to the Trust Director. Maintain professional appearance consistent with Agency dress code. Use clear, professional language in all communications. Protect Agency assets and maintain strict confidentiality of beneficiary information. G.
Other:
Participate in fundraising activities and Agency events as needed. Represent The Arc of South Florida positively within the community. Perform other related duties as assigned.
Minimum Education and Training Requirements :
Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent experience. Minimum of two (2) years’ experience in bookkeeping, accounting, or administrative roles. Proficiency in accounting software (e.g., QuickBooks, TNET) and Microsoft Office Suite (Word, Excel, Outlook). Accurate data‑entry skills, strong attention to detail, and excellent organizational abilities. Excellent written and verbal communication; bilingual proficiency a plus. Knowledge of public benefits programs (Social Security, Medicaid/Medicare, HUD, SNAP) preferred.
Minimum Physical Requirements:
Ability to sit at a desk/computer for the majority of an 8‑hour workday. Ability to lift or move objects up to 10 lbs without assistance. Occasional bending, reaching, or standing to retrieve files or supplies.
