Location County Comptroller Full/Part Time Part-Time Regular/Temporary Regular Overview A Minutes Coordinator is a responsible administrative position within the department. A Minutes Coordinator takes the minutes of the Board of County Commissioners’ meetings, prepares the written records, and ensures that County ordinances, resolutions, agreements, and other Board-approved documents are executed and processed. Work is performed under the guidance of, and reviewed by, the Minutes Supervisor. General supervision is provided by the Manager of the department.
Representative Duties Note:
The below description may not be representative of all duties and responsibilities for this position. Attends the Board of County Commissioners meetings and miscellaneous meetings to take the minutes. Simultaneously audio records the meetings to ensure integrity of the minutes. Prepares and distributes a “Board Actions Taken” document containing all BCC motions for distribution the day after a Board meeting. Reviews notes and audio to prepare the formal written minutes ensuring proper grammar, spelling, and consistent format. Reviews agenda-related documents to ensure the documents received reflect the approved Board action and are in “in proper form” prior to stamping “Board-approved” and affixing the Orange County seal. Prepares Board-approved documents for execution; obtaining signatures of the County Mayor or designee, and other involved entities, departments, or individuals as required; and distributes. Prepares notices of public hearings, notices of adoption, permits, decision notices, certified excerpts of minutes, certified records, and associated correspondence. Ensures documents are “in proper form” for recording in the Official Records of the County, determines and collects associated fees; delivers for recording; and upon return receipt, distributes and files. Files certified copies of ordinances with the Secretary of State for numbering; and upon return receipt, distributes, and files for the record. Ensures that minutes and backup material are microfilmed and indexed for the permanent record. Maintains current and pending files of associated agenda and documentation for each Board meeting. Assists with customer service and the processing of documents and records on a rotating basis or as directed. Performs other duties as assigned.
