General Description /
Primary Purpose:
The Assistant Director University Housing Operations, under the direction of the Assistant Vice President of Housing and Residence Life, plays an integral role in the design, development, implementation and interpretation of departmental processes and/or programs for Housing and Residence Life as it relates to Budget and Finance.
Job Function
- Leads the day-to-day management and supervision of all Housing and Residence Life auxiliary financial operations including, but not limited to:“`{=html}“
- Oversees all accounting functions of department“`{=html}“
- Responsible for the assessment, invoicing and collection of rent, including on-going monitoring of resident financial accounts for compliance“`{=html}“
- Responsible for development of department budget in excess of $25 million dollars in consultation with the Assistant Vice President of Housing and Residence Life“`{=html}“
- Responsible for assisting in the development of semester rental rates“`{=html}“
- Direct training, supervision and evaluation of Housing and Residence Life accounting staff members“`{=html}“
- Oversees student payment issues (deferrals, payment plans, payment extensions, etc.)“`{=html}“
- Oversees student assessment issues (invoicing, pro-ration, etc.)“`{=html}“
- Prepares monthly reports on revenue collection and expenditures for Assistant Vice President“`{=html}“
- Ensures department meets all University policies and procedures with regard to revenue and expenditures“`{=html}“
- Ensures departments meets all set debt coverage ratio expectations“`{=html}“
- Monitors and reports purchasing activities to Assistant Vice President“`{=html}“
- Oversees the use and audit of Departmental purchasing card activities“`{=html}“
- Identifies areas of concern and conducts internal investigations related to purchasing activities and other housing expenditures and recommends corrective action to Assistant Vice President when necessary“`{=html}“
- Actively monitors all departmental purchasing and contractual agreements
- Actively assists with the configuration and on-going engagement with the resident database management system to ensure proper assessment of rent and associated accounting within the system“`{=html}“
- Leads department efforts with respect to financial clearance of resident financial accounts prior to and during resident move-in events“`{=html}“
- Prepares bid/intent to negotiate documents in compliance with Procurement Services for purchase of services/good from third-party vendors/contractors“`{=html}“
- Injunction with department senior staff and Procurement Services, administers agreements with third-party vendors/contractors“`{=html}“
- Reviews and responds to complaints and concerns from University community regarding quality of service by Housing and Residence Life“`{=html}“
- Responds to audit recommendations and recommends corrective action for implementation, Frequent engagement with the following campus partners:
Controllers Office, Student Financial Services, One Stop Student Services, Student Financial Aid, Procurement Services, Orientation, Welcome Center, Campus Planning and Budget OfficeMarginal Functions:
Participates on University committees as needed. Perform duties as assigned by Assistant Vice President.
Departmental Requirements:
This position requires a detail-oriented, customer service-friendly individual who exhibits a positive attitude and is highly motivated. The ideal candidate/employee will have strong administrative and problem-solving skills in addition to excellent written and oral communication skills. Previous supervisory experience is important for a successful candidate to possess coupled ith a working knowledge of accounting and budget management principles.
Supervision Exercised:
Direct supervision of Housing and Residence Life accounting staff membersincluding: Two (2) Senior Accounts Payable Representatives and one (1)
Account Payable AssociateSupervision Received:
General guidance and direction. The incumbent established procedures for attaining specific goals and objectives in a broad area of work; contact between employee and supervisor is limited in terms of frequency and matters covered.
Level of Public Contact:
The Assistant Director interacts with all levels of University staff, faculty, administrators and non-campus groups on matters of departmental services and university related topics. The Assistant Director is available to interact with parents of residents and prospective students.
Monetary Responsibility:
Monitors daily revenue collection and expenditures. Assists the Assistant Vice President with the development and maintenance of a department budget in excess of $25 million dollars.
Policy-making and/or
Interpretation:
The Assistant Director interprets and enforces policy in matters related to functional tasks. The Assistant Director, as part of the professional staff team of Housing and Residence Life, shares in policy decision and interpretations.
Program Direction and Development:
Direct leadership and administration of the Housing and Residence Life auxiliary financial operation.

Has access to student housing records as well as student financial records and is responsible for these records in accordance with all University, State and Federal Regulations.
Required Qualifications:
This position requires either (a) Master’s degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; (b) Bachelor’s degree from an acceptable accredited institution in a directly related area of specialization and four years of experience directly related to the job functions; or (c ) 8 years of direct experience.
