Full Job Description Position Summary:
Responsible for handling vendor maintenance, coordinating purchasing of various supplies in efficient and economical manner, processing POs, working with warehouse to track orders, stock and deliver items. Vendor Maintenance & Warehousing Adds new vendors to A/P system/Great Plains. Verifies vendors to make sure they are active and compliant. Updates payment terms for vendors. Update vendor contact information and addresses. Contacts and works with vendors to resolve discrepancies. Works with manager to create vendor score cards. Scans all COI and vendor files to share drive. Assist with local delivery’s when needed Assist with 4th floor stocking Assist with physical labor on busy days with the warehouse Assist the warehouse manager on inventory days when needed Purchasing & Logistics Purchases office supplies for entire property. Purchases accounting supplies (Envelopes, Checks, stationary, etc.). Purchases office paper for property and keep inventory. Purchases warehouse items (gloves, small equipment, uniforms, packing tape, ITF forms, etc.). Acts a back-up for F&B food purchasing (ordering food when needed) Reviews requisitions to ensure they are approved by authorized individual. Facilitates purchases for $250 and under. Scans all PO’s and quotes to share drive. Updates PO’s when needed. Processes orders in GP and EREQ when needed. Quotes certain projects and items. Makes sure invoices match PO’s. Keeps logistics log updated for all incoming and outgoing freight. Creates new carrier relationships. Tracks all shipments daily. Works closely with warehouse on delivery times and dates. Follows up with end user on items that were delivered. Works with Warehouse Manager to ensure that PO’s are closed in Great plains. Systems requirements &
Minimum Qualifications:
Efficient with Food trak software system Efficient in Great Plains accounting software Above average skills with Excel and outlook Must be very professional and work well with others Must thrive in a fast paced, multi-tasking environment Establish and maintain relationships with management and staff members Experience in building and providing leadership to the purchasing team AS or BS is Business Administration preferred but not required. Certificate in inventory management logistics preferred. Requires 3-5 years’ experience in a purchasing-related role. Requires excellent task management skills and analytical abilities. Hospitality experience is preferred, Possesses excellent organizational, interpersonal, analytical, communication and managerial skills. A solid experience working with MS Office applications and databases is required.
