CENTRAL SERVICES FINANCE DEPARTMENT PURCHASING AND TRAVEL CLERK
Major Functions:
The Purchasing Clerk is responsible for assisting the Purchasing Manager in his/her day to day responsibilities to insure district funds are expended in the most efficient and effective manner utilizing local, state, and federal purchasing and travel guidelines.
Duties and Responsibilities:
- Assist Purchasing Manager in all processes related to purchasing and travel to insure compliance with all State and Federal purchasing laws in accordance with board policies set forth by the Department of Finance and Administration.
- Maintain permanent bid files.
- Maintain vendor files insuring that active vendors have current insurance coverage as required by the district and perform the TIN match as required by the IRS.
- Perform purchase order conversion and purchase order maintenance for district funds and activity funds.
- Process all travel request (registration, airfare, and hotel) and mileage reimbursements to include sending out all travel confirmations to employees.
- Maintain active travel log.
- Process Use of Facilities request and provide technical support to schools and district office.
- Assist in the administration of Fuelman PINs for all departments with the exception of transportation.
- Any other duties assigned by the Purchasing Manager.
- Maintain confidentiality and privacy of all school records.
- Responsible for providing support while maintaining a high level of professionalism and working to establish a positive rapport with all individuals.
- Perform such other tasks and assume such other responsibilities as may be assigned by the supervisor or superintendent.
- Be consistently responsible-maintaining regular punctual attendance and timely completion of assigned duties, working assigned days and using sick and personal leave appropriately.
- Adhere to the Mississippi Code of Ethics
Minimum Requirements:
High school diploma or GED equivalent
Minimum two (2) years verifiable purchasing experience preferred.
Computer skills: word processing, spreadsheet, e-mail, and internet, and e-mail
