The Purchasing Associate is responsible for providing overall support to the Procurement Team. Purchase order maintenance on replacement parts order entry and assist in the coordination and expediting of the shipments with Logistics. They are responsible for handling shipping discrepancies, approvals, and coordination of parts returns, etc. This person will be cross trained and work closely with multiple depts.

KEY RESPONSIBILITIES OF JOB

Create and maintain purchase orders in accordance with requirements determined by Procurement Manager Assist in the maintenance of the drop ship orders from creation through the billing/invoice process. Review new model or vendor BOMs, to set up new item numbers. Purchase order maintenance and inventory item maintenance as needed. Maintain effective email and verbal communications and relationships with all vendors. Create weekly past due order reports for assigned vendors. Expedite past due items through email communications. Support the Purchasing Manager on operational projects as needed. Assist the Purchasing Coordinators with administrative needs and annual returns when required. Set up new vendors as needed with accounting. Review receipts & invoices to confirm accuracy with purchase orders for payment approvals. Document and communicate all discrepancies back to the designated vendors and obtain resolutions. Source unavailable or obsolete parts from other alternate locations or other vendors. Generate all necessary documentation, clearance entry and system setup for prior to receiving ocean orders. Answer and assist the multiple dept in regard to DPCS, DOSS, Dtat Systems, open or past due parts order, etc Cross train through the department to assist in coverage and support of the team. Research, report, and resolve discrepancies with all vendors. (shortages, overages, damages, etc) Work with receiving to perform item and PO maintenance as required. Assist receiving to obtain missing packing lists, provide required paperwork. Inventory Id’s – Set up new, maintenance, add notes, cross reference/map revisions or make obsolete/inactive

EDUCATIONAL AND PHYSICAL REQUIREMENTS 3

years’ experience in inventory management, purchasing, warehouse, and/or similar experience. Effective communications including written, verbal, and interpersonal skills. Critical thinking, problem-solving, organization, time management, and strong attention to detail abilities Ability to collaborate and work with a team as well as to self-manage. Basic knowledge of receiving, shipping, customs, and ability to analyze data, create reports and data entry. Proficiency or ability to learn multiple platforms such as but not limited to: MS Office, CRM, MS Dynamics SL, Sharepoint, My Carrier, DPCS, KDP, SAP, etc.
