PM Job Description Purpose:

Under supervision of Director of Purchasing-Supply, Assistant Director of Peri-op Supply Management responsibilities include supervising and managing the Peri-op Supply Chain Team, including materials management, ordering, contract management, distribution, storage, and coordination with Peri-op teams.

Specific Duties and Responsibilities:

The Assistant Director of Peri-op Supply Management is responsible: Oversees the daily operation of the department, managing day to day workload of team members as well as identifying and resolving issues that arise Monitoring workflow, ensuring the safe use of equipment and inventory of all incoming materials physically in hospital and in the PS, the HHC ERP system Oversees verification and stocking of daily incoming materials. Maintain the inventory per par level Follow up with Materials Management team/Receiving to ensure that the deliveries arrived Ensure overnight emergency orders are processed and received Manage inventory fulfillment by following up with MM and Receiving Coordinate contracting for specified supplies and services, engaging stakeholders and central office colleagues Facilitate Preference Card management through collaboration with Peri-op departments and Surgery leadership Manage supply, device, implant utilization and transitions in collaboration with Surgery leadership, active surgeons, and relevant stakeholders Manage par locations and inventory management processes Oversee daily par level checks and reporting. Identify items that are not needed to be ordered and items that are low in stock for ordering Provide necessary adjustments to par levels based on utilization and anticipated case volumes and enter requisition for the critical items Manage orders and inventory for storeroom. Run query for high quantity and high value items Manage storage locations and audit labels for accuracy of items, location, Ref #, FPL etc Run daily queries as assigned and do root cause analysis for items ordered in error or in excess Do daily huddles with materials handlers and daily rounds on the patient units Supervise and guide department’s staff, determine staff needs, schedule personnel and assign work to all team members. Maintain monthly and daily schedule and make changes as needed Maintain daily objective and ensure work goals are met optimally; Control of flow and traffic in the department Assure compliance with regulatory, insurance and ethical standards regarding safety of patients, employees and property. Identifying contingency plans for potential risk. Implement quality assurance program and oversees monitoring activities to meet standards and regulations of accrediting agencies such as Joint Commission and the Accreditation of Healthcare Organization (TJC) Manage, monitor, consolidate and retrieve storage to allow maximum utilization of space Provide high level of quality of standard throughout facility Maintain records of employee attendance and performance Manage staff members by apprising performance, rewarding and disciplining associates, addressing complaints and resolving problems Perform all duties in alignment with the mission, vision, values, and behavioral expectations of NYC Health + Hospitals Minimum Qualifications Bachelor’s degree from an accredited college or university in Accounting, Finance or Business Administration; and, Three (3) years of experience in accounting, finance or business administration, two (2) years of which must have been in a supervisory capacity within relevant areas in settings related to a hospital, medical center or health care facility; and two (2) years of which must have been in a related management of purchasing capacity or, Satisfactory equivalent combination of education, training and experience. The education cited above may be substituted for by experience on a year-for-year basis. However, all candidates must have a minimum of a High School or its educational equivalent. Department Preferences A Master Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Community Health, Phycology, Finance or related discipline and Two (2) + years of full-time experience in Supply Chain, Purchasing, Distributions and Retails (preferable in healthcare), 1(one) + year experience on the supervisory capacity Knowledge of Supply Chain, Inventory, Procurement standards, data management Outstanding leadership, organizational, multitasking, and problem-solving skills Proficient computer skills, Excel, Word, current ERP systems, PeopleSoft ERP system preferred How To Apply If you wish to apply for this position, please apply online by clicking the ” Apply for Job ” button.
