Position Summary:
Colonial Coatings, Inc. is seeking a detail-oriented and proactive Operations Coordinator to support our purchasing, production, and quality assurance teams. This position plays a key role in maintaining accurate ERP system records, supporting vendor relationships, and ensuring documentation is up-to-date and compliant with technical specifications. The ideal candidate has experience in manufacturing or aerospace environments and is comfortable working cross-functionally.
Key Responsibilities:
Vendor Management & Purchasing Create and issue purchase orders to approved outside vendors for special processing or services Track purchase order statuses to ensure timely delivery and escalate issues as needed ERP Administration Enter and maintain sales orders in the ERP system Update job routers and work instructions to reflect changes from engineering manuals, customer blueprints, and process updates Support accurate part tracking and job progress monitoring Quality Documentation Draft and prepare material and process certifications for Quality staff review and signature Ensure certificates of conformance meet customer and regulatory requirements Process Improvement & Documentation Revise internal work instructions and technical documentation based on customer revisions and internal best practices Maintain accurate revision control in ERP and documentation databases Ad Hoc & Cross-Functional Support Assist with data entry, reporting, and other clerical tasks as needed Collaborate with quality, production, and engineering staff to ensure smooth process flow and documentation accuracy
Qualifications:
Prior experience in a manufacturing or aerospace environment not required Familiarity with ERP systems (Steelhead, E2, or similar) not required Strong attention to detail and ability to manage multiple tasks Proficiency in Microsoft Office (Excel, Word, Outlook) Excellent written and verbal communication skills Strong organizational skills and proactive work ethic
Work Environment & Schedule:
Full-time, on-site role Monday through Friday schedule, with occasional flexibility depending on operational needs Manufacturing/office hybrid environment
