Operations Full Job Description Position Overview:

The Operations Coordinator is responsible for assisting the Chief Operating Officer (COO) in all operational and administrative museum-related activities. This role supports the COO in the alignment of the museum’s overall goals and its operations. This individual will work closely with the COO, Human Resources, Legal and Finance departments to support with daily business operations and administrative tasks.

Required Degree:

Bachelor’s Degree/4-

Year Degree Qualifications:

Three years of relevant operations experience required; preferably in a museum setting. Exceptional office management and organization skills required. Impeccable written and verbal abilities. Diplomatic and able to interact in both a professional and friendly manner with a wide range of people and cultures. Ability to manage several responsibilities and duties simultaneously. Ability to maintain a level of confidentiality and discretion. Attention to detail. Excellent problem-solving skills, comfortable in high-pressure situations. Ability to adapt to changing priorities and deliver work product within strict time demands. Ability to work independently and efficiently on several projects simultaneously. Proficiency in Microsoft Office Suite. Database management experience. Exceptional analytical skills to sift through data and information. Fluency in Spanish.

Physical Demands :

Walk, bend, lift (up to 15 pounds) files, office supplies, and electronic equipment. Finger dexterity to pick up paper and use computer keyboard. Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to hear in normal tones including telephone and face-to-face conversation. Essential Functions included, but are not limited to: Assists with managing the COO’s calendar. Schedule and make travel arrangements for the COO (regional, national, and international). Assists with daily office operations, including handling mail, maintaining mail equipment, managing toner and copiers, restocking office and kitchen supplies, and organizing storage areas. Assists the COO in coordinating and scheduling meetings to include staff, Board of Trustees, partners, vendors, etc. Assists the COO in communicating with staff, Board of Trustees, partners, vendors, etc. Assists the COO and CFO with the Board of Trustees’ committees and task forces (Finance Committee, Investment Committee, Audit Committee, Buildings and Grounds Committee, Food and Beverage Task Force, etc.).

Attends internal team meetings:

Operations meeting (weekly). Prepares reports and professional materials, including PowerPoint presentations, financial reports, and Board-related documents. Creates, updates, and maintains internal operations procedures and documentation. Reconcile payments and receipts to various parties timely. Stores, files, and retrieves corporate documents and reports as and when needed. Supports the COO in identifying, managing, and resolving operational issues based on priority. Participates in meetings with external stakeholders and distributes minutes to the appropriate internal teams. Works closely with the COO to support and monitor day-to-day museum operations. Tracks the progress of projects and communicates with stakeholders as needed, ensuring that the COO meets deadlines and completes pending tasks. Maintains a high level of confidentiality and professionalism in handling sensitive information. Assists with projects, events, and programming as required.
