Job Summary The Operations Coordinator will provide high-level administrative support to the Executive Leadership Team, reporting directly to the COO. This role involves supporting both one-on-one interactions and team-wide initiatives. The ideal candidate is a creative, detail-oriented professional who thrives in a fast-paced environment. They will possess excellent judgment, strong communication skills, and a proven ability to manage multiple priorities effectively. Role Objective Provide high-level support to internal and external stakeholders with professionalism and a positive representation of the organization. Key Responsibilities Handle sensitive matters with discretion and confidentiality, especially those impacting company operations. Maintain a daily calendar of meetings and events. Prepare documents including Word files, Excel spreadsheets, PowerPoint presentations, agendas, reports, and materials for special projects. Coordinate travel and accommodations for executives and prepare expense reports. Demonstrate excellent communication and time management skills with a proven ability to meet deadlines. Thrive in a fast-paced environment; perform additional duties as assigned by executives. Draft and prepare correspondence for internal communications and board meetings. Assist with the preparation and management of presentations and slide decks. Remain responsive to emails, texts, and phone calls, including outside standard business hours. Use sound judgment and discretion in handling matters related to the Executive Leadership Team. Represent the company and its executives positively through reliability and professionalism. Conserve executive time by researching, gathering, and analyzing information in advance. Organize and maintain complex calendars and resolve scheduling conflicts. Required Skills and Qualifications 5+ years of experience in an Operations Coordinator or similar administrative role. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Exceptional verbal and written communication skills. Ability to work flexible hours based on project and meeting demands. Highly organized, detail-oriented, and proactive in managing tasks and priorities. Preferred Attributes Business Acumen
