This opportunity entails joining our dynamic Executive and Continuing Education team, situated at our waterfront property along the picturesque Boca Ciega Bay in St. Petersburg, Florida. In this role, you will play a vital part in supporting our vibrant partner-focused community of certified professionals encompassing executive coaches, HR specialists, mediators, and esteemed professors. As the Operations Coordinator, your role will revolve around providing administrative, logistics and communications support related to order management and invoicing, programs, products and services, business development, and reporting for the Products and Partnerships team at the Leadership Development Institute (LDI). LDI delivers professional, assessment-based leadership programs to for-profit, nonprofit and government sector clients. LDI’s Products and Partnerships team includes the Mediation Training Institute (MTI), Conflict Dynamics Profile (CDP) and Entrepreneurial Mindset Profile (EMP). The role requires the incumbent to possess a professional demeanor and the ability to effectively manage relationships with a large base of clients as well as individuals. Knowledge of and skills in Microsoft Office and Google Suite applications is important to success in the position. The Coordinator must be proficient in producing online training and events for clients and comfortable with confidently presenting in front of a Zoom camera. The ideal candidate has the ability to manage simultaneous tasks and projects and meet deadlines with a high degree of accuracy. The MTI and EMP are divisions within Eckerd College’s Leadership Development Institute (LDI), which is a network associate of the Center for Creative Leadership and offers internationally acclaimed leadership programs to thousands of local, national and international clients. Key Responsibilities Generate invoices, process and accurately fulfill, track and reconcile client orders in a timely manner. Maintain client databases and participant spreadsheets, perform daily data entry and ensure data accuracy, including guided website and LMS updates. Act as the initial point of contact for portal and program support via phone and email, overseeing initial responses and appropriately directing further action, if needed. Manage pre-, during- and post-program logistics, such as processing applications, registrations and certifications, tracking participant assignments, and assembling, packing, shipping and printing program materials. Monitor product inventory of on-site materials and work with third-party distributors and suppliers for materials and print needs. Support program instructors and participants over Zoom by facilitating breakout sessions, running recorded videos, monitoring chat and providing technical assistance. Work collaboratively to build and update program and/or product materials and standard operating procedures.
