This position is responsible for confirming upcoming HVAC appointments, verifying that completed jobs actually ran, confirming call center timecards, maintaining the Call Center Master spreadsheet, and supporting payroll readiness for the call center team.

Key Responsibilities:

Call customers to confirm scheduled HVAC appointments Review upcoming job schedules and ensure customers are ready for their visits Update appointment records and customer notes in Housecall Pro Daily, review each branch’s Housecall Pro records to verify that booked appointments actually ran Maintain and update the Call Center Master spreadsheet with accurate information on completed appointments and caller performance Ensure spreadsheet data is complete and accurate, as it directly affects team compensation Confirm all call center timecards are submitted and accurate prior to payroll processing deadlines Notify the designated payroll processor that call center Timecards, and the Call Center Master Spreadsheet, are ready. This is due by the 2nd and 17th of each month (for payroll periods: 1st-15th and 16th-end of month) Follow internal processes and scripts to ensure professionalism and consistency Support the Call Center Manager with other administrative or operational tasks as needed

Requirements:

Strong phone communication skills and professionalism Exceptional attention to detail and recordkeeping accuracy Comfortable working with software systems (training provided for Housecall Pro and internal spreadsheets) Ability to manage recurring daily and bi-monthly tasks reliably Organized, punctual, and self-motivated
