For more information on the broadcast service, programming and opportunities, please visit www.wabe.org Donations Operations Manager Reporting to the Director of Membership Experience, the Donation Operations Manager will be responsible for managing gift entry procedures, processing departmental invoices, and providing excellent customer service to donors. This role ensures that donor contributions are acknowledged promptly and efficiently. WABE multi-channel campaigns include radio, television, podcasts, digital, direct mail, email, targeted ads, telephone, and texting, as well as targeted programming to retain and deepen donor relationships. The successful candidate will possess skills in fundraising operations, project management, and customer service. They should be fully comfortable with the Microsoft Office software suite and have experience in data entry, reconciliation, and reporting. Additionally, desirable qualifications include financial management skills, and experience in media settings.

Accountabilities:

Oversee essential giving reporting, department invoicing procedures, and all aspects of gift processing, including cash handling, gift and pledge entry, transaction adjustments, gift imports, and acknowledgement letters, while adhering to industry best practices and WABE-specific gift policies. Ensure gifts are processed in an accurate and timely manner with weekly bank deposits and daily recording of all philanthropic contributions to the station. Lead the expansion of our corporate matching program utilizing our Allegiance, ensuring all prospects are engaged. Collaborate with the SVP of Membership on special projects to enhance process flow, record keeping, and internal team communications. Lead the entry of donor interests and attributes to create segmented lists for fundraising and marketing purposes within the database. Collaborate with the Membership team leads on special donor retention projects. Continuously monitors, documents, and recommend improvements for gift processing procedures to improve data accuracy and procedural efficiency. Utilize working knowledge of membership giving levels, fundraising campaigns, special donor events etc., to appropriately attribute gifts. Works closely with other departments, especially Finance, to reconcile all gifts accurately and confirm receipt of wire transfers and stock gifts. Immediately addresses any issues, unknowns, or inconsistencies that may inhibit timely processing. Respond to donor inquiries and comments regarding gift processing. Perform other duties as assigned. Knowledge and Skills Highly motivated, enthusiastic, and possesses a strong desire to achieve, with the ability to be a self-starter. Exhibits a positive, professional demeanor with careful attention to detail, propriety, and confidentiality. Possesses excellent verbal and written communication skills. Demonstrates a strong sense of urgency when issues arise. Familiar with WABE’s payment processors (Paya and Stripe) and all entry points for potential gifts. Demonstrates proven ability to troubleshoot and work with vendors to swiftly resolve issues. Commands current computer technology and software, including Microsoft Office, Outlook, CRMs, and the internet. Manages multiple tasks while meeting deadlines, with impeccable time management skills. Capable of working independently as well as in a team environment.
