Full Job Description Overview:
We are seeking an experienced and detail-oriented medical office phone scheduler to join our team. The ideal candidate will be responsible for managing patient appointments and ensuring that our healthcare provider schedules are sufferingly filled. This role is critical in maintaining our office’s efficiency and ensuring that our patients receive the highest level of service and exceptional care..
Duties:
- Answer incoming calls and assist patients with scheduling, rescheduling, and cancelling appointments.
- Accurately collect and document patient demographic information and insurance information in the electronic health record (EHR) system, following HIPAA guidelines.
- Manage same-day and same-week appointment openings, proactively offering these available slots to patients who call, to ensure that patients are given first appointment opportunity and to help keep the schedule full.
- Make outbound calls to confirm appointments, follow-up with patients, and handle referrals.
- Manage a daily reschedule call list for cancelled and missed patient appointments
- Provide information to patients regarding office hours, services, and preparation for medical procedures.
- Manage and maintain an accurate appointment calendar in the electronic health records (EHR) system.
- Manage patient waitlists, ensuring that patients are seen in a timely and organized manner.
- Coordinate with medical staff to ensure smooth patient flow and address scheduling conflicts.
- Handle patient inquiries or concerns and direct them to the appropriate department when necessary.
- Provide exceptional patient service, addressing patient concerns and inquiries in a professional and empathetic manner, ensuring a positive experience.
- Assist with administrative tasks such as scanning documents, verifying insurance, and processing referrals.
- Participate in quality improvement initiatives to continually improve office operations and patient care.
Qualifications:
- High school diploma or equivalent required; degree in healthcare or a related field preferred.
- Minimum of 2 years experience working in a scheduling role in a medical office environment, preferably in dermatology.
- Proficiency in electronic medical records systems, preferably with Ema PM.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment and prioritize multiple tasks.
- Commitment to maintaining patient confidentiality and adhering to all HIPAA guidelines and regulations.
- Proficiency in Microsoft Office and basic computer skills.
