Position Information Position Title Program and Production Coordinator CI&A
Position Summary This position is responsible for coordinating programming and production related duties and publicity for the Center for Innovation of the Arts and non-curriculum related productions and performances in the Center for Performing Arts, and providing administrative, and clerical support for the Artistic Director of Spelman College. Essential Duties and Responsibilities Conducts research with production agencies regarding production rights for plays suggested by faculty and provides feedback regarding cost, specifications regarding the rights, obtaining the rights, etc.
Communicates with play directors (students) in coordinating with production agency regarding scripts for productions. Will they be edited or unedited and ensures the appropriate follow-up with production agency
Meets with the Technical Director during the discussion of show needs (i.e. costumes, set designs, technical designs). Shares budget information with Technical Director and once authorized by the Artistic Director, orders show materials based on Technical Director needs and funding available.
Manages event/performance spaces within department
Works with Technical Director to ensure performance spaces are up to OSHA regulations
Works with appropriate agency to have theater inspected and coordinates any needed repair.
Handles Title III funded transactions such as purchases, honorariums, and ensures the processing of related forms in accordance with appropriate guidelines
Works with department chairs/faculty/production directors and the Office of Communication to coordinate the publicity for all productions/performances and departmental activities (i.e. preparing graphic designs, flyers, posters, email blast, etc.)
Coordinates with department chair/performance directors regarding upcoming events and provides website updates to Communication Department to ensure the website is kept current, and manage social media accounts
Consults and coordinates scheduling (availability) with the Program Coordinator for Theatre and Performance, of the LaTanya Richardson Jackson and Samuel Jackson Center for the Performing Arts;
Maintains schedules for all programmable spaces (the black box theatre and available white walls, within the Center for Innovation and the Arts; rehearsal spaces based on the type of rehearsal and space requirement
Coordinates with Artistic Director on volunteers, and audience services
Maintains inventory of departmental office supplies, and equipment;
Maintains accurate department budgets, including items such as processing requisitions, ensuring receipt of purchases, processing of all guests/consultants paperwork and payments, (i.e. honorariums), travel reimbursement,
Participates in outreach activities associated with project goals.
Assists in the preparation, submission, and follow-up of proposals and budgets
Coordinates logistical arrangements for departmental events (i.e. Reserves facilities, campus space, campus housing, coordinate meals and/or refreshments;
Coordinates mail pick up/deliveries, express shipping receipt and delivery, including collecting and distributing mail on a daily and timely basis; handles/distributes faxes
Sets up vendor and guest artists accounts
Compares and provides quotes for equipment and materials for the department Required Qualifications High school diploma and a minimum of five years of related work experience are required.
This position requires strong customer service focus, excellent communication, verbal and time management and organizational skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential.
Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Good proofreading skills are essential.
Must possess the ability to write business correspondence and newsletters. Good oral communication skills with the ability to effectively coordinate activities, respond to common inquiries from students, faculty, staff, agencies, educational institutions, and the general public. Ability to read and analyze professional journals, technical procedures, or governmental regulations. Ability to manage budgets. To perform this job successfully, an individual must have demonstrated intermediate level skills using Microsoft Office Suite (Word, Excel, and PowerPoint) and typing skills. Advanced skills may be required for some applications. In addition to producing correspondence, memos, e-mails, duties may involve assignments that require creating flyers/brochures, spreadsheets with formulas and pivot tables, PowerPoint presentations, mail merges, and graphs. Experience in the use of report writing software (i.e. Crystal Report, and Access) and SCT Banner is a plus. Must be internet savvy and capable of using the Banner Financial Module, Outlook and learning new software quickly. Preferred Qualifications Bachelor’s Degree or some college is preferred.
