Position Summary:
The Project Scheduler plays a vital role in ensuring the successful execution of projects from award to completion. Reporting directly to the General Manager, this position requires close collaboration with internal departments—including Sales, Design, Production, Shipping, and Accounting—as well as external customers. The Project Scheduler is responsible for managing the scheduling process, coordinating submittals, approvals, production, and deliveries, while maintaining open communication across all interested parties.
Essential Responsibilities:
Initiate job tracking once a project is awarded (i.e., receipt of PO, payment, and signed contract). Maintain daily communication with internal departments regarding project milestones, responsibilities, and status updates. Act as the primary point of contact for customer updates, including jobsite readiness, delivery sequencing, timeline adjustments, and decision-maker identification. Confirm and document jobsite conditions, limitations, and unloading capabilities to ensure accurate scheduling and delivery execution. Verify weekly delivery dates, production sequences, directions, and customer-specific requirements to keep all interested parties aligned. Coordinate production scheduling with internal teams to ensure orders align with plant capacity and operational efficiency. Provide proactive delivery communication to customers, including confirmation of full or partial shipments and expected arrival times. Monitor weather conditions that may impact deliveries and proactively communicate adjustments. Ensure thorough documentation of all customer interactions and instructions, especially those related to job sequencing and delivery timelines. Maintain up-to-date delivery schedules and communicate changes promptly to the Plant Manager, Production Manager, and Shipping Manager. Address unexpected issues such as job delays or rescheduling requests with urgency and clarity, ensuring all changes are clearly documented and communicated. Perform other duties as assigned to support the success of the operations team.
Required Qualifications:
Technical Skills:
Understanding lean manufacturing principles is an advantage. Proficiency in Microsoft Excel, excellent skills in Microsoft Office Suite, and the ability to quickly learn proprietary software.
Soft Skills:
Excellent verbal and written communication and people skills for coordinating with internal teams and external stakeholders. o High attention to detail and organizational skills to ensure accuracy. o Strong critical thinking skills and the ability to make decisions under pressure. Meticulous with a focus on quality and efficiency.
Physical Requirements:
