Job Summary:

Dean Financial is seeking a detail-oriented and proactive Operations Specialist to join our team. This role supports the advisor team and plays a critical part in delivering exceptional service to our clients by managing administrative operations, preparing documentation, and ensuring the smooth execution of day-to-day tasks. The ideal candidate brings a minimum of three years of relevant industry experience, demonstrates strong organizational and communication skills, and thrives in a team environment. You will be responsible for maintaining client records, preparing meeting materials, processing account paperwork, and ensuring operational accuracy and efficiency across all functions. This position calls for someone who is confident with computers, quick to learn new systems, and highly attentive to detail. The ideal candidate takes initiative, adapts easily, and maintains a consistently polished and professional presence.

Job Qualifications Education:

Bachelor’s degree preferred but not required.

Experience:

Minimum of three years of relevant industry experience required.

Must be able to learn and effectively use the company’s CRM system. Duties and Responsibilities Assist the Advisor in delivering excellent client service. Maintain and manage the Advisor’s calendar at all times. Schedule and confirm all appointments for the Advisor. Review and organize client files after each appointment is completed. Manage follow-up tasks with the Advisor, paraplanner, and clients regarding the next steps. Prepare materials for upcoming client meetings. Coordinate with the paraplanner to ensure all file prep is timely and complete. Verify that client meeting files are accurate and complete. Deliver exceptional service when receiving and responding to client requests. Open new client accounts, process applications, and handle monetary transfers. Address and resolve daily client service requests promptly. Maintain client and document records in both physical and electronic formats, according to company policy. Generate and deliver weekly reports to the Advisor and supervisor as needed. Participate in operational meetings to enhance systems and support team education, fostering open communication.
