Position Summary:
We are seeking a detail-oriented and proactive Operations Associate to support our advisors and ensure an exceptional client experience. This role is key to the smooth day-to-day functioning of the firm’s back-office operations and front-line client service. You’ll act as a liaison between clients, custodians, and advisors, helping to facilitate account openings, transfers, reporting, and ongoing support.
Key Responsibilities:
Client Service Support Serve as a primary point of contact for client inquiries via phone and email Assist with onboarding new accounts, including paperwork preparation and account setup Coordinate money movements (deposits, withdrawals, transfers) in a timely and accurate manner Schedule meetings and manage advisor calendars Support client meeting prep (report generation, follow-up summaries, etc.) Operations & Administrative Support Process account maintenance requests: beneficiary changes, address updates, etc. Reconcile and maintain accurate client data within CRM and portfolio systems Interface with custodians (Charles Schwab) to ensure seamless processing Help maintain firm compliance by adhering to regulatory and procedural standards Contribute to internal projects to streamline workflows and improve client experience
Qualifications:
Bachelor’s degree preferred, ideally in Finance, Business, or related field At least 2 years of experience in financial services or client service role (wealth management a plus) Strong organizational and time management skills High attention to detail and commitment to accuracy Excellent verbal and written communication skills Ability to thrive in a team-oriented, fast-paced environment Series 65 or willingness to obtain
