Job Summary:

The Operations Coordinator supports daily administrative and operational tasks across multiple departments. This role requires strong organizational skills and attention to detail, providing administrative support, logistics coordination, document management, and interdepartmental communication. This individual will contribute directly to the efficient operation of internal systems and help ensure smooth daily workflow across departments.

Primary Duties and Responsibilities:

Create shipping labels and coordinate pickups (UPS/FedEx) Order and distribute U1A forms from the National Board Create item numbers and tag Job Orders (JO’s) for tank acquisitions Maintain and update Tank Inventory Smartsheet Provide data entry support for ADP/Expensify (as needed) Book flights for field crews Manage and maintain Corporate Rate records Maintain Licensing Smartsheet Request Certificates of Insurance (COIs) Assist with quarterly IFTA tax filings and registrations Support DOT reporting and visits Aid with Verizon account management Support Purchasing functions (excluding PO issuance): Receiving backup Order tracking and expediting Material issuance from inventory Handle general office operations, including: Ordering supplies and managing inventory Scanning, filing, and organizing documents Coordinating meals for events Scheduling fuel deliveries (LP/Diesel) Managing incoming/outgoing mail Arranging service for printers and scanners Maintaining kitchen cleanliness Preparing and sending holiday gifts to customers Perform other duties as assigned by the

Education and Experience:

High School diploma or GED required; Associate’s or Bachelor’s degree preferred. 2-4 years of administrative, operations, or coordination experience in a manufacturing, logistics, or industrial environment preferred. Prior experience with shipping systems, document management, and basic purchasing support preferred. Familiarity with Smartsheet, ADP, and general office management software a plus.
