School Operations Coordinator Raleigh Oak Charter School Raleigh, NC 27610 School Operations CoordinatorRaleigh Oak Charter School Role Overview Reporting to the administrative team, the School Operations Coordinator is a senior, school-based leader responsible for overseeing all operational functions necessary to support a high-performing school. This includes budgeting, purchasing, facilities management, food services, technology, student recruitment and enrollment, student data management, regulatory compliance, and academic operations support, such as student attendance tracking and monitoring. The Operations Coordinator serves as a key member of the school’s Leadership Team, ensuring operational excellence that enables instructional staff to focus on driving strong student achievement outcomes. This role also oversees planning for school events and activities that are pivotal to student experiences and community engagement, such as field trips, performances, and special school events. Key ResponsibilitiesSchool Operations Leadership & Team Management Develops and implements the school-wide operations strategy in alignment with the school’s academic and cultural vision. Leads the hiring, onboarding/offboarding, and management of the school operations team, including front office staff, facilities staff, and vendors. Establishes scalable, equitable, and efficient operational systems, policies, and procedures. Ensures that the main office is organized, welcoming, and equipped with necessary parent-facing materials. Finance & Purchasing Manages the school’s budget in collaboration with the Finance Team and school leadership. Leads the purchasing process by implementing clear systems for staff requests, processing purchase orders, tracking deliveries, and ensuring financial compliance. Acts as the primary school-based liaison for financial matters. Facilities & Maintenance Oversees facilities operations, including maintenance, custodial services, campus aesthetics, and safety protocols. Conducts regular facilities walkthroughs to ensure a clean, safe, and well-maintained environment. Student & Family Services Manages logistics related to student meals, and arrival/dismissal procedures. Oversees school-wide communications, including family letters, staff updates, and surveys. Serves as a key point of contact for school tours and external engagement efforts. Participates in attendance initiatives to reduce chronic absenteeism and increase student engagement. Supports student athletics and extracurricular programs through operational planning. Technology & Equipment Ensures students and staff have access to necessary technology and manages technology-related improvements. Oversees the annual school start-up process, including ordering furniture, equipment, and instructional materials. Manages the school’s inventory of supplies and assets. Student Information, Testing, and Academic Operations Support Maintains accurate student data in compliance with federal, state, and school policies. Serves as the point person for Infinite Campus administration, including class scheduling and rosters. Manages logistics for student assessments, report cards, and transcripts. Maintains strict confidentiality Student Recruitment & Enrollment Develops and implements a student recruitment strategy to ensure full enrollment. Oversees enrollment, transfer, and re-enrollment processes. Leads planning for family information sessions, school tours, and lottery/enrollment procedures. Risk Management, Compliance, & HR Administration Ensures the school’s readiness for emergencies by conducting drills and staff training. Partners with HR for hiring, onboarding, and maintaining employee records. Monitors and processes staff leave requests and ensures compliance with HR policies. Supports staff with required certifications and background checks.

QualificationsRequired:

Bachelor’s degree required. Minimum of 3-4 years of full-time experience in school operations or a similar field. Strong leadership and team management experience (minimum of 3 years). High level of organization and ability to manage multiple priorities effectively. Strong strategic, analytical, and problem-solving skills. Excellent written and verbal communication skills. Ability to navigate financial oversight and budget management. Commitment to diversity, equity, and inclusion. Ability to pass a criminal background check.

Preferred:

Master’s degree in Business Administration, Education, or a related field. Experience working in a charter school setting. Fluency in Spanish.
