- Major Duties
- + Provide administrative support to the program’s operational unit by facilitating the processing of State and Federal mandated surveillance activities, including initial complaint intake.
+ Manage the main phone line, respond to general inquiries, and triage calls or requests to the appropriate units for follow-up. + Conduct initial intake of complaints from patients, caregivers, family members, or consumers, and accurately enter allegations and relevant information into the internal system. + Draft and prepare outgoing correspondence using program-specific templates and systems. + Handle photocopying of various document types for requests, internal needs, and public distribution. + Process incoming and outgoing mail and maintain accurate mail logs for tracking purposes. + Perform basic maintenance and troubleshooting of office equipment such as photocopiers and printers, coordinate repairs when necessary. + Use scanning equipment to digitize surveillance documents and other materials for electronic filing and recordkeeping.
- What are we looking for?
- + Previous experience providing administrative support in a fast-paced or regulatory environment.
+ Strong communication skills, with the ability to manage high-volume phone lines and interact professionally with the public, including patients and caregivers. + Proficiency in data entry with keen attention to detail, particularly when handling sensitive information and complaint documentation. + Familiarity with government systems or databases such as ACTS and ACO is a plus. + Ability to draft professional correspondence using templates and follow procedural writing guidelines. + Skilled in using standard office equipment (e.g., printers, copiers, scanners) and performing light troubleshooting or maintenance. + Highly organized, dependable, and able to manage multiple priorities while maintaining accurate records.

Parking:
Paid parking is required. Daily rates can be $10.00 or more, or a monthly parking pass may be available for approximately $100.00.
