POSITION OVERVIEW
The Operations and Administrative Coordinator (“Coordinator”) plays a key role in supporting the MLBPA’s day-to-day office functions, including front desk coverage, office supply and facilities management, and general administrative support. This position ensures a professional and welcoming experience for all staff, Players, guests, and vendors, while helping maintain a well-organized and efficient work environment. The Coordinator will also serve as a reliable backup for our lead receptionist and provide general administrative support to the broader Operations team.
KEY RESPONSIBILITIES
Reception and Guest Services Provide backup reception coverage on assigned days or during lead receptionist absences. Greet and assist visitors, ensuring a courteous and professional front-of-house presence. Answer and route incoming calls accurately and professionally. Support meeting and event logistics, including guest check-in and conference room readiness. Office and Administrative Support Assist with office and supply management, procurement, and inventory tracking. Monitor and process incoming and outgoing mail and package handling. Coordinate light facilities tasks or vendor communication related to shared office areas. Provide assistance with scheduling, document formatting, ad hoc research, and other initiatives for the Operations team and cross-departmental projects. Additional Support On occasion, assist in the development and refinement of presentation decks, basic reports, or visual materials to support department initiatives.
QUALIFICATIONS
Bilingual in English and Spanish is required. 1+ years of experience in an administrative, office coordinator, or receptionist role preferred. Bachelor’s degree with strong academic credentials. Excellent interpersonal and communication skills (written and verbal). Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Highly organized, dependable, and able to manage multiple tasks in a fast-paced environment. A team player with a customer-service mindset and a positive, solutions-oriented attitude. Familiarity with office systems or vendor coordination is a plus. Passion for baseball and knowledge of Players is a plus.
REPORTING STRUCTURE
Reports to: Sr. Executive Assistant & Operations Manager Also works closely with: Operations Executive Assistant and Sr. Director of Operations, Business & Strategy.

$55,000 – Non-Exempt -Eligible for

Office 5 days in office (Monday-Friday)
